Position Overview:
A small, well-established CPA firm is seeking a highly organized and detail-oriented Office Manager / Administrative Assistant to support partners and staff with day-to-day administrative operations. This individual will play a key role in ensuring the office runs efficiently, particularly during busy tax and audit seasons. The ideal candidate is proactive, tech-savvy, and comfortable working in a fast-paced professional services environment.

Key Responsibilities:

  • Provide administrative support to partners and accounting staff across tax, audit, and client service functions
  • Coordinate and manage workflow related to tax return preparation, including organizing client documents and tracking deadlines
  • Prepare, format, and assemble financial reports, tax returns, and client deliverables
  • Serve as a point of contact for client communications, including scheduling meetings and responding to inquiries
  • Maintain and organize electronic and physical filing systems
  • Assist with billing, invoicing, and general office bookkeeping tasks as needed
  • Support audit and accounting engagements through document preparation and coordination
  • Manage general office operations, including supplies, mail, and overall office organization
  • Ensure accuracy and completeness of administrative processes and documentation

Qualifications:

  • Prior experience in an administrative, office management, or support role (CPA firm or professional services environment preferred)
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook)
  • Familiarity with QuickBooks and/or UltraTax is a plus
  • Excellent organizational and time management skills with the ability to prioritize multiple tasks
  • Strong attention to detail and accuracy
  • Professional communication skills, both written and verbal
  • Ability to work independently and as part of a team
