Job Description
We are looking for an Administrative Assistant to join a collaborative team in Minneapolis, Minnesota. This role focuses on keeping client and financial records organized, supporting day-to-day administrative and bookkeeping activities, and ensuring sensitive information is handled with care. The ideal candidate is detail-oriented, comfortable working with documents and financial data, and confident managing multiple priorities in a client-facing environment.
Responsibilities:
• Maintain accurate client files and supporting records, including organizing family-related documentation and updating internal information as needed.
• Oversee the upload, organization, and tracking of financial and tax-related documents within secure client portal systems.
• Handle outgoing and incoming client correspondence, including preparing mailings, distributing documents, and supporting communication follow-up.
• Assist with routine financial administration such as recording transactions, preparing deposits, and supporting basic bookkeeping activities.
• Enter and update accounting details in QuickBooks while helping keep internal records complete and current.
• Support payment-related processes by tracking check registers, coordinating bill payments, and assisting with journal entry documentation.
• Prepare printed checks and related financial paperwork with strong attention to detail and processing accuracy.
• Provide administrative support for quarterly distribution activities, including check preparation, deposit coordination, and document mailing.
• Protect confidential client and financial information by following secure handling practices and maintaining discretion in all tasks.
• Contribute to general administrative operations and provide dependable support across administrative functions in a small-team setting.
• Experience using QuickBooks for data entry, record maintenance, or basic bookkeeping support.• Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
• Ability to manage administrative tasks in an office environment with strong organization and follow-through.
• Comfortable handling client communications professionally by phone, email, and mail.
• Experience working with multi-line phone systems and managing calls efficiently.
• Strong accuracy when processing documents, financial information, and routine transactional tasks.
• Ability to maintain confidentiality while working with sensitive client and financial records.
