Job Description
We are looking for a highly organized Executive Assistant to support leadership and administrative operations in Minneapolis, Minnesota. This Long-term Contract position is ideal for someone who communicates clearly, manages competing priorities with confidence, and handles sensitive information with discretion. The role combines executive support, broader departmental coordination, and project assistance in a service-oriented environment within a cultural institution.
Responsibilities:
• Provide day-to-day support to an executive leader, including managing a busy calendar, coordinating meetings, and helping align daily priorities.
• Assist the broader division with administrative needs such as arranging schedules for additional team members and maintaining smooth office coordination.
• Monitor and track internal requests, support basic financial administrative tasks, and help manage system user access as needed.
• Facilitate operational tasks related to cash handling support, including coordinating change requests and cash drop activities.
• Partner with another department on shared project coordination activities, helping keep timelines, meeting plans, and room arrangements organized.
• Use project tracking tools such as Asana to follow assignments, update progress, and support cross-functional scheduling efforts.
• Prepare meeting logistics by securing spaces, coordinating attendees, and ensuring materials and timing are in place.
• Serve as a dependable internal point of contact by delivering responsive, consistent service across the organization while maintaining confidentiality.• Strong verbal and written communication skills with the ability to interact effectively across all levels of the organization.
• Proven ability to manage multiple tasks at once while maintaining accuracy, organization, and follow-through.
• High level of discretion and judgment when working with confidential information and sensitive matters.
• Excellent organizational skills and the ability to remain focused in a busy or distracting work environment.
• Customer-service mindset with a detail-oriented, helpful approach to supporting internal stakeholders.
• Experience with calendar coordination, executive meeting support, and general administrative operations.
• Comfort using Google Workspace for scheduling, communication, and document management.
• Familiarity with project coordination tools such as Asana is preferred, though training can be provided.
