Cubesmart is seeking a Risk Management Assistant to join our Legal team at its Malvern, PA headquarters. The Risk Management Assistant will perform a wide variety of administrative duties to support the Risk Management team.

  • Maintains a calendar
  • Communicates professionally with vendors, board members, officers, and teammates at all levels of the organization
  • Manages travel and accommodation arrangements
  • Provides assistance within the claims function with the retrieval of incident reports to be sent to the tenant insurance carriers, relationship managers (3PM team) and other internal stakeholders.
  • Communicates with stores when required for additional information related to incident reports.
  • Provides assistance with the collection and management of certificates of insurance from third parties, including data entry into Origami to track compliance.
  • Provides assistance in the collection and maintenance of exposure data for insurance renewals.
  • Provides assistance with Data entry of exposure information, store information, contacts, insurance information, etc. into Origami RMIS system.
  • Provides assistance with the maintenance of Origami RMIS system
  • Communicates store acquisitions and dispositions to relevant third parties, including necessary exposure information collected from internal teammates.
  • Provides assistance with the collection and organization of policy endorsements, invoices, etc.
  • Provides assistance with the distribution of insurance auto ID cards to internal stakeholders
  • Generates and distributes reports, memos, letters, and other documents as needed.
  • Manages timeline of multiple projects
  • Maintains, manages, and processes a high volume of documents across multiple formats including Microsoft Word and PDF
  • Manages and handles expense reporting
  • Exercises sound judgment, tact, diplomacy, integrity, and professionalism in all transactions
  • Adheres to the highest degree of professional standards and strict confidentiality in matters that require discretion.
  • Handles other general administrative responsibilities as needed

Education and Experience

Minimum Required Qualifications (including Programs/systems experience)
  • At least 4 years of Administrative Assistant experience
  • Excellent interpersonal skills, flexibility, and project coordination experience
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Exceptional written and verbal communications skills
  • Outstanding attention to detail and organizational skills
  • Ability to work both independently and as part of a team
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Ability to manage multiple priorities and meet deadlines in an open, fast-paced environment
  • Self-motivated with strong follow-up skill
