CubeSmart is currently seeking a Legal Compliance Assistant to join the Legal team at our corporate office in Malvern, PA. The Legal Compliance Assistant will perform a wide variety of administrative duties to support the application, renewal and maintenance of the Company's business and mercantile licenses.

Responsibilities

Responsibilities include:
  • Interface daily with all levels of local jurisdictions (municipal, township, county, state) to locate business licensing forms and licenses
  • Communicate with stakeholders about licensing requirements
  • Manage Business Licensing email communications
  • Perform regular audits of third-party licensing database
  • Confirm location research for existing stores
  • Locate information for new licensing applications, DBAs and renewals
  • Prepare and file new licensing applications, DBAs and renewals for filing
  • Liaise with stakeholders to apply for Certificates of Occupancy/Use/Zoning Permits
  • Knowledge of entity structures and ownership
  • Generates and distributes reports, memos, letters, and other documents as needed.
  • Manages timeline of multiple projects
  • Maintains, manages, and processes a high volume of documents across multiple formats including Microsoft Word and PDF
  • Manages and handles expense reporting
  • Exercises sound judgment, tact, diplomacy, integrity, and professionalism in all transactions
  • Adheres to the highest degree of professional standards and strict confidentiality in matters that require discretion.
  • Handles other general administrative responsibilities as needed
Qualifications

Education and Experience

Minimum Required Qualifications (including Programs/systems experience)
  • At least 5 years of Administrative Assistant experience
  • Excellent interpersonal skills, flexibility, and project coordination experience
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Exceptional written and verbal communications skills
  • Outstanding attention to detail and organizational skills
  • Ability to work both independently and as part of a team
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Ability to manage multiple priorities and meet deadlines in an open, fast-paced environment
  • Self-motivated with strong follow-up skills
