Description:Act as administrative assistant for three directors in Aeronautics Strategy and Business Development (ASBD) in a very fast-paced setting with frequent interactions with the Executive Leadership Team (ELT). Position responsibility includes arranging high volumes of domestic and international travel and preparing the associated expense reports, pre-reviewing expense reports on the director's behalf for subordinate team members, ensuring compliance with hospitality requirements of the Foreign Corrupt Practices Act, managing directors' calendars, pre-arranging facility visit requests and meeting rooms with refreshments/meals when needed, managing routine facilities moves for the directors and their team members, collaborating effectively with the ASBD administrative staff to ensure the effective operations of the entire team.
Experience with Microsoft Suite - Outlook, (specifically Outlook Calendar management), Microsoft Word, Excel, and Power Point.
Experience in managing emails, calendars & schedules for leaders.
Experience in travel planning and expense reporting.
Outstanding written and verbal communication skills, detail oriented, demonstrated ability to operate in a fast-paced team environment with frequent variability, as well as interactions with executive leadership.
Experience in travel planning and expense reporting using applicable LM Aero systems.
Experience planning and expensing international travel in Concur.
Experience using LM Aero facility visit request system.
Experience using LM Aero refreshment and meal arranging/ordering to support meetings for directors and team members.
Experience coordinating VTC meetings.
Experience with editing PDF documents, including use of scanners for creating PDF documents.
Knowledge of hospitality requirements of Foreign Corrupt Practices Act.
