    The Learning Abroad Outreach Assistant typically works a fixed schedule within normal business hours (Monday - Friday, 8:00am - 5:00pm).

    Please note that the Learning Abroad Outreach Assistant:

    - Must work 10 hours per week

    - Must provide a minimum of 15 hours of availability per week for scheduling purposes

    - Must maintain their schedule the entire semester after they hae approved the final version

    - Are NOT required to workduring finals, school breaks, or any days where class is not officially in session

    DESCRIPTION

    The Learning Abroad Outreach Assistant is an administrative position focused on supporting Learning Abroad's presence and outreach on campus. The Outreach Assistant:

    *Directly supports the work of the Marketing Coordinator and Marketing Team by consistently promoting the opportunities and benefits of Learning Abroad through the coordination of campus, community, and virtual outreach

    *Supports Learning Abroad student recruitment by actively researching, initiating, and scheduling outreach activities across campus.

    *Ensures that information is available and communicated to constituents in a timely, accurate, and professional manner

    *Helps connect Learning Abroad marketing efforts to broader university and departmental initiatives to increase awareness

    *Builds relationships with other campus entities, such as student groups, academic units, and student services offices to expand Learning Abroad reach

    PRIMARY DUTIES

    *Provides direction and leadership for Outreach Team and its Learning Abroad Outreach Interns; this includes attending and directing Outreach Team meetings

    *Assists Marketing Coordinator with planning, promotion, and coordination for events such as tabling, classroom presentations, Fall & Spring enrollment events (e.g., Fairs), research poster sessions, information sessions, college-level fairs, and International Education Week; this includes detailed and attentive coordination with outside entities and on-campus colleges, departments, faculty, staff, and student groups

    *Liaises with appropriate on- and off-campus partners to ensure that digital and print materials are accessible and Learning Abroad staff are present at events

    *Maintains up-to-date data on past, current, and upcoming outreach activities

    *Works with Marketing Coordinator and Marketing Team to devise new and innovative outreach channels on and off campus.

    *This position also entails additional responsibilities that help support the mission and initiatives of Learning Abroad

    This position is considered Category IIA : Not required on campus and has the ability to telework remotely for the duration of the University of Utah's response to COVID -19.     Responsibilities

    Responsibilities for the Outreach Assistant position include:

    *Actively searches campus-wide online calendars and other sources to identify new outreach opportunities for Learning Abroad Outreach Interns to attend.

    *Initiates and schedules on-campus presentations to classes, residence halls, and student groups to increase participation in Learning Abroad by all members of the University of Utah student community, including populations historically underrepresented in Learning Abroad.

    *Leads Outreach Team of four Outreach Interns; this inclues leading Outreach Team meetings, checking in with Outreach Interns, providing feedback to Outreach Interns to guide and motivate their work

    *Consults with Marketing Coordinator to coordinate student staffing at scheduled events such as tabling, classroom presentations, Fall & Spring enrollment events (e.g., Fairs), research poster sessions, information sessions, college-level fairs, and International Education Week.

    *Promptly communicates and follows up with Learning Abroad staff and all affiliate colleges, departments, faculty, staff, and students while ensuring excellent customer service and a high degree of professionalism

    *Assists in the building of relationships with other on- and off-campus stakeholders, such as student groups, to increase awareness about and participation in Learning Abroad programs

    *Consistently practices a high level of attention to detail and superior organization skills to execute tasks

    *Maintains office outreach calendar, email account, and attendance records for outreach events; this includes maintaining data on past, current, and upcoming outreach activities

    PREFERRED QUALIFICATIONS

    *Excellent time management, oral & written communication and organizational skills

    *Experience working within a team structure, including the ability to negotiate and manage conflict

    *Working knowledge of on-campus offices, student groups, and other on-campus orgs

    *Ability to respond to texts and emails quickly, regularly, and with a high degree of professionalism

    *Experience working in a professional office setting

    *Demonstrated interest in or experience with international educaiton opportunities, such as Learning Abroad (Not mandatory to have learned abroad, or done so at the University of Utah)

    *Microsoft Office experience

    *Experience with Google Drive

    *Experience with social media, incluing Instagram, Facebook, Twitter and Youtube

    *Enthusiasm for development of new skills and knowledge

    We are looking to hire an Outreach Assistant to start before the beginning of the Fall 2021 semester, as early as 07/01/2021. The applicant must be willing to commit to work for the Academic Year 2021-2022.
