7:00 am – 4:30 pm might have to start sometimes at 6am if orientation is going on for new hires.


JOB SUMMARY:
The Human Resources Assistant supports the administration of the day-to-day operations of the human resources department functions and duties, under the direction and supervision of the HR Generalist/Manager. The HR Assistant carries out responsibilities in some or all of the following areas:  maintenance of electronic and paper timecards, attendance records, maintenance of internal vacation and sick accrual records, new hire forms and screenings, benefit assistance, temporary employment agency billing, and maintenance of temporary employee job assignments. Perform other duties as assigned.

ESSENTIAL FUNCTIONS:
• Daily review and maintain employee daily electronic timecard information; as they occur and notice is provided, update timecards for all attendance incidents, excused and unexcused; to include any comments/notes needed per day of incident; follow up with supervisors/managers as needed.
• Daily research any missing or incorrect electronic and paper timecard punches; within one business day, follow up with supervisors/managers for resolution and timecard corrections.
• Daily review all hourly employee timecards to ensure state labor laws are enforced regarding meal/rest period guidelines; and inform manager of any premium pay due to employee(s) for missed meal/rest period violations to be processed for payroll.
• Maintain and forward to PEO provider for payroll processing, any employee wage garnishment orders and updates.
• Calculate and maintain shop employee Union fee records; forward Union deduction information to HR Generalist for payroll processing; provide new member information and payments to the Teamsters Union office.
• Consistently and timely, maintain and update temp employee personnel files.
• By 10 am on Monday, or the first business day of the new work week, forward temporary employee paper timecards to agencies for timely weekly payroll processing.
• Every Friday, or last business day of the current work week, before end of work day, create and issue weekly paper timecards for temporary employees; and post in shop or provide to managers.
• Every Monday, or the first business day of the new work week, maintain and update hours worked report for temporary employee job assignments for the previous work week.
• Timely and accurately, monitor and prepare Payroll Change forms for shop employee pay increases due per CBA guidelines.
• As temp assignment work hours requirement nears 40 hrs or less, initiate and create temp to new hire requisition/conversion forms for supervisor/manager/president approval, including other government, company and union forms required for the new hire process.
• As needed, consistently coordinate and schedule temporary employee clinic visits; and order online background screenings for tentative new hire processing; and consistently follow-up daily for results.
• Process agency billing for temporary employee job assignments, including dept coding for accounting payment purposes.
• Accurately maintain and update weekly, the attendance tracking reports, internal vacation and sick accruals reports, and other employee personal information.
• Inform HR Generalist/Manager of any concerns, questions or training needed regarding HR tasks, duties and projects, including any concerns or questions about expected completion dates.
• Daily during breaks and lunches, and as needed during vacations and absences, provide backup support for company incoming calls.
• Timely and accurately perform other duties as assigned.

ENTRY QUALIFICATIONS:
• Human Resources experience, 2+ years.
• Administrative experience, 2+ years.
• Excellent confidentiality skills and experience, 2+ years.
• Computer Skills - Outlook, Word & Excel - Intermediate Level.
• Excellent verbal and written communication skills; Bilingual – Spanish is required.
• Minimum Education:  High School - some college or professional HR certificate is a plus.
• Ability and desire to want to grow and be a team player within our organization.
• Ability to legally work within the United States.
JOB SUMMARY:
The Administrative Assistant / Receptionist is responsible for routing all incoming office calls to the appropriate person or department, while providing excellent customer service.  Position greets and directs office visitors to the appropriate person or department.  Position is also responsible for the various office administrative assistant duties.  Additionally, position is responsible for providing confidential administrative support to the President, management team and other office employees.

ESSENTIAL FUNCTIONS:
• Greet clients as soon as they arrive and connect them with the appropriate person/dept.
• Using a multi-line phone system, answer all incoming phone calls in a timely manner and distribute to the appropriate person/dept.
• Collect, sort and distribute incoming mail in a timely manner.
• Process outgoing mail with correct postage as needed; process outgoing UPS shipments.
• Distribute incoming faxes to appropriate person or dept in a timely manner.
• Perform various clerical and receptionist tasks daily.
• Maintain office supply inventory and re-order supplies as needed.
• Maintain marketing supplies and literature room organized and current; re-order supplies and literature as needed; create catalogs as needed.
• Process marketing supplies and catalog mailings to customers as requested by the Sales team.
• Provide administrative support to the President and other depts as assigned.
• Create and/or maintain various documents for administrative and other dept use.
• Other duties as assigned.

ENTRY QUALIFICATIONS:
• Minimum Education:  High School Graduate or GED; professional certification or Associates degree preferred in a related field.
• Previous Administrative Assistant experience, 2+ yrs.
• Previous Receptionist experience, 2+ yrs.
• Intermediate to advanced computer software skills and experience with Microsoft Office software (ie Outlook, Word, Excel). 
• Basic Accounting knowledge and experience, 2+ yrs; intermediate to advanced Mas90 or Mas200 experience is preferred.
• Excellent verbal and written communication skills with confidentiality and tact.
• Bilingual in Spanish is required for customer calls/communications.
• Ability to create professional emails and other company correspondence/forms.
• Excellent customer service and task follow thru skills.
• Ability to multi-task effectively and efficiently.
• Excellent organization and accurate filing skills.
• Ability and desire to want to grow and be a team player.
• Ability to legally work within the United States; ability to fluently speak English.
