Position Summary:
The Office Manager position requires a candidate that will be able to work in a fast paces and energetic environment. The Manager must also possess the skills of training and development of staff and to be able to delegate tasks and follow up to hold staff accountable. You must be able to prioritize daily tasks and assign accordingly for completion. As the Office Manager you must have great communication skills with customers and staff in order to build a strong lasting relationship; in turn this will promote growth and profitability within the company as well as advanced career opportunities.

Manage: all office activities to ensure overall profitability by following established policies and procedures

  • Provide exemplary customer service by displaying patience, attentiveness, and clear communication
  • Manage daily activities including payment transactions, cash management and security, lending, sales and collections, and reporting by effectively planning and time management of staff and workflow
  • Identify, address and document employee performance issues/concerns and identify resolutions to resolve
  • Identify and report to Supervisor any critical issues that arise and possible resolutions to resolve
  • Responsible for office organization, appearance and maintenance of office
  • Train and develop all staff members by seeking trainable moments in everyday office activities
  • Complete and submit Daily/Weekly Reporting (as applicable)
  • Prepare, process, and ensure prompt completion of loan applications
  • Ensure accurate filing and report of bank figures to Service Center for record keeping purposes
  • Manage employees time & attendance, bi-weekly payroll and vacation time

Leadership: provide leadership and training to develop staff by

  • Set clear office goals for staff to participate in the overall success of the office and share
  • Hold weekly staff meetings to inform, educate and follow up on best practices
  • Hold staff accountable for completing assigned duties in an efficient, timely and precise manner
  • Perform regular employee performance reviews to provide feedback to aide in the overall development of employee
  • Responsible for hiring and separation of employees in conjunction with Supervisor
  • Lead by example (work ethic should exceed staff)

Business Development:

  • Develop and maintain long business relationships through promotion and solicitation
  • Enforce the “Cash in Branch Security” Policy/ Protect Company assets
  • Professionally follows and ensures staff follows all company policies and office procedures and enforce

Control of Delinquency:

  • Arranging specific payment plans with extremely past due customers, negotiating difficult accounts
  • Perform collection activities on delinquent accounts
  • Minimize bad debt by performing collection activities on delinquent accounts with telephone conversation

Job Requirements:

  • Prior experience with customer service required
  • Prior management experience in a related industry is preferred
  • Ability to work well with others
  • Ability to multi-task in a fast-paced work environment
  • Knowledge of state and federal lending regulations
  • Strong organizational and time-management skills
  • Ability to obtain a license to sell insurance (in applicable states)
  • Computer literate
