The Role
Lark Technologies is seeking an Executive Assistant and Office Manager to assist with executive administrative support as well as day-to-day maintenance of our office space. Lark's Executive Assistant and Office Manager will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO and CTO. This role will serve as a liaison to the board of directors and senior management team; organize and coordinate executive outreach and external relations efforts; and oversee special projects.

Where much of this role can be performed remotely, it will also require 1-3 visits to Lark's Mountain View office per week. This role reports to Lark's Chief Executive Officer, with a dotted line to the Chief Technology Officer and the Manager, Human Resources Operations.

What You'll Do
Executive Support
  • Completes a broad variety of administrative tasks for the CEO and CTO, including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for access to the CEO and CTO's time
  • Communicates directly, and on behalf of the CEO and CTO, with Board members, investors, clients/customers, staff, and others
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and CTO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Work closely and effectively with the CEO and CTO to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Prioritizes conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings along with any travel

Office and Facilities Management
  • Partner with Lark's finance team to complete expense reporting for Lark's CEO and CTO, and other VPs when requested
  • Management of Lark's Return to Work Center program
  • Maintenance and upkeep of Lark's office space, ensuring 100% compliance with local COVID-19 prevention standards
  • Opening, sorting, and distributing incoming mail and packages
  • Maintain inventory of office supplies
  • Scheduling, hosting, and program management of company-wide virtual and/or live events

  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Proven event planning and management experience
  • Strong written and verbal communication skills

Education and Experience
  • Bachelor's degree in a Business related field
  • 2-5 years' experience supporting executives, working in a private/emerging growth organization would be a plus
  • Position requires coming into our Mountain View headquarters 3 days a week.
  • Proficient in Microsoft Office, Adobe Acrobat, Social Media web platforms and the G-Suite
