Administrative Assistant

Kelly is seeking an Administrative Assistant to work with our client, a large global non-profit organization, on a direct hire basis. This is an excellent opportunity to set foot into an organization that changes lives on a daily basis!

The Administrative Assistant will:

  • Oversee the reception area
  • Act as the point of contact for all incoming phone calls, deliveries, and visitors
  • Open, sort, and distribute mail
  • Maintain supply inventory for the building
  • Design and produce documents, reports, and presentations
  • Collect and prepare information for meetings with staff and outside parties
  • Draft agendas and record meeting minutes
  • Arrange and handle all logistics for assigned meetings and events
  • Compose and prepare correspondence
  • Maintain contact lists
  • Make travel arrangements
  • Complete expense and mileage reports
  • Provide sophisticated calendar management
  • Prioritize inquiries and requests
  • Make judgements and recommendations to ensure smooth day-to-day engagements
  • Assist with special projects as needed

Qualifications:

  • 3+ years of related administrative experience
  • Proficiency with Microsoft Office programs
  • Excellent verbal and written communication skills
  • Strong organizational skills with keen attention to detail
  • Effective time management and multitasking skills
  • High level of professionalism and customer service
  • Ability to maintain confidentiality and sensitive information
