Actalent is looking for a Construction Admin

Description:

Our client is looking for a Construction Admin who will be responsible for managing and distributing information within the office. This generally includes answering phones, taking memos and maintaining files. This will also include receiving correspondence, as well as greeting clients and customers.

Essential Duties & Responsibilities

Represents Actalent and our client, in a positive, professional manner, and in a way that reflects well on the Company

. Greets the public and other individuals who enter the Field Office in a polite and business-like manner

. Responsible for the clerical, filing, data entry and word processing, postal, and telephone duties in the office

. Maintains the project office in a neat and business like condition with the assistance of the project clean-up personnel

. Maintains the inventory of office supplies

. Performs general administrative duties for Project Managers

. Understands the working relationship between the customers and TFS organization

. Receives and assists Project Managers with distribution of union pay checks or paystubs

. Assists Project Managers and Superintendents with timely processing of union new hire paperwork, per diem requests, and employee transfer forms

. Enters material requisitions covering material, monthly rentals and equipment into purchasing system. Receives materials into purchasing system once it is delivered

. Maintains office equipment

New Hires

- Prepare packets for new hires and eventually to be sent to pay roll

- Provide support to new hires during orientation by assuring complete and proper document fill out

- Proper disposal of packets (this needs to be brought somewhere to be shredded)

- Manage any updates to be sent to pay roll ex. (tax forms, bank accounts, change of address, etc.)

- Submit badge application and track new hires and team members onsite without badges

- Explain and support covid procedures at Micron using app and daily check in

- Track weekly covid testing for reminders and to limit downtime for crew members

- Manage transfer paperwork, rehires, and terminations duties as assigned

Pay Roll Responsibilities

- Liaison between steward/superintendent and offsite admin to correct time errors

- Liaison between site and pay roll for employee updates and questions

- Prepare pay stubs to be sent out once a week, Fold, envelope, and separate accordingly

Additional Skills & Qualifications:

Office Maintenance

- Manage and organize the shared space, primarily in the office trailer

- Run errands to support team (staples, office depot)

- Maintain the inventory of office supplies and order accordingly

o Office supplies

o Coffee station / coordinate water delivery from shop

o Printer maintenance and supplies

IT Support

- Manage the iPads/Phones (who has been assigned hardware, their asset tag, info needs to be sent to IT)

- Prepare new iPads and new Phones (set up company profiles, request emails)

- Support network issues as needed (working with IT over the phone)

- Submit IT tickets as needed (requesting both hardware needs and software installations)

Material Support

- Organize packing slips by supplier (supporting Firas where admin can)

- General clean up and disposal of cardboard around the office

- Take out the trash as needed

Miscellaneous

- Go pick up guests from the security trailer

- Give directions on how to get to trailer to guests

- Order lunch for special occasions

- Potentially run errands between here and the shop
