Job Description

Plastic surgery practice seeks motivated and energetic full time individual for medical front desk and administrative duties. Previous experience working within both clinical and administrative setting preferred.

Front Office Coordinator Job Responsibilities:

  • Serves patients by greeting and helping them, scheduling appointments, and ensuring patient information is complete and up to date in EMR (electronic medical records).
  • Welcomes patients and visitors in person or on the telephone, and answering or referring inquiries.
  • Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person, online or by telephone. Answering multiple phone lines and screening incoming calls in a professional manner.
  • Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
  • Assisting the physician and/or nurse when needed.
  • Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Processing all payments, keeping estimates and invoice up to date, managing all patient financing options and accounts payable.
  • Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.
  • Coordinates with marketing and advertising partners on behalf of office.
  • Uses social media marketing tools to maintain the practice's brand, developing social media marketing campaigns and interacting with users on all platforms.
  • Contributes to team effort by accomplishing related results as needed.
  • Dispersing mail and packages as needed.
