Under supervision of the Field Services Manager, the Special Event Parking Representative serves as primary customer service representative for the campus community, visitors, and parking staff for special events parking arrangements. Respond to special event work orders over the phone, and through electronic e-mail. Enter and track event requests and billing information using customized event management software. Coordinate and follow up on service requests delays or complaints. Assist with creating special signage using the flatbed printer. Responsible for billing and invoicing Special Event work orders. Answer questions and resolve billing discrepancies as necessary. Place barricades and signage in the field as needed.
- May be assigned overtime or alternate work schedules, such as evening shift, weekends and holidays.
Successful experience providing and coordinating customer service in a large, complex and inter-dependent organization. Experience working on a customer service team and ability to take ownership of customer needs and improve service delivery.
Basic accounting skills and experience preparing invoices for University and non-University customers. Ability to resolve billing discrepancies and produce sample reports.
Proven ability to accurately balance revenue received on a daily basis and accurately complete required audit reports. Strong mathematical skills; strong cash handling methods and audit principals.
Demonstrated ability to resolve traffic control conditions during an emergency situation or until supervisor or Community Safety Officer is notified of existing condition. Ability to direct traffic, when needed. Ability to assist in any emergency situation as directed by supervisor or direct Community Safety representative.
General writing ability to independently draft correspondence pertaining to the operations, policies, and procedures of the functional area, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
Familiarity with special event planning, equipment and set-up logistics as related to parking services and traffic management.
Proficient with MS Windows, Word, Access, Excel, and Outlook, with the ability to operate customized Event Management Systems and Point of Sale systems.
Demonstrated ability to operate motor vehicles with manual or automatic transmissions.
Demonstrated ability to follow through on set procedures and be creative in proposing new procedures and systems. Experience in accurate record keeping, with strict attention to detail.
Ability to give accurate and concise directions to all areas and departments of UC San Diego.
Demonstrated ability to reorganize schedules quickly to effectively manage rapidly changing priorities and/or emergencies in a busy environment.
Excellent verbal and written communication skills with the ability to effectively communicate with a diverse group of people including vendors, faculty, staff and students. Ability to interact diplomatically with the public in a high volume, continuous public contact setting.
Ability to model and advocate the UC San Diego .
DOJ/FBI and DMV background checks and clearances required prior to employment.
Must possess and maintain a valid California Driver License. May be part of the California DMV's Pull Notice Program.
Must be able to work outdoors in a variety of climates.
Must be able to stand for long periods of time and withstand diverse weather conditions.
Pay Transparency Act
Annual Full Pay Range: $33,900 - $70,052 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $16.24 - $33.55
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
