A local school in the Brainerd Lakes area is looking to hire an Admin Assistant to help support the school board and school admin team.

A successful candidate is responsible for the processing and maintenance of confidential and non-confidential student and staff records and correspondence of the school district. The Administrative Assistant assists the Business Manager with the maintenance of records and filing of reports and ensures absolute confidentiality of information, files and records.

Skills and requirements:
  • Possess post-secondary training (A.A. and college credits preferred) in accounting, office management skills, and technology
  • Must possess strong organizational, problem solving, and computer application skills
  • Prepares for the opening and closing of the school year
  • To answer the phone, register and greet all visitors
  • Issues, records, and maintain file for school key distribution
  • To coordinate ordering of supplies, equipment, for entire building, prepare purchase orders, receive billings, tie out invoices, etc.
  • To work closely with the Director and Business Manager on fiscal management issues including but not limited to: accounts payable, accounts receivable, and deposits,
  • To coordinate lunch service and milk break, enter lunch counts into computer, monitor dollars in students lunch accounts, communicate with lunch service kitchen staff about daily lunch counts, special events, changes in schedules, etc.
  • To coordinate Health Office – dispense medication to students, as needed. Take care of health concerns: ice packs, band aids, inhalers, diabetic monitoring, etc., attend health meetings and training sessions, keep up CPR and First Aid Certification annually
  • To coordinate Public Relations efforts – disseminate information about school and provide tours to parents and other interested individuals, create and place advertisements, press releases, etc. as needed
  • To have a working knowledge of computer programs needed in day-to day operations Microsoft Word/Excel/Publisher, etc.,–,Be willing to learn new technology as needed
  • To pick up, sort mail with another staff member, and route incoming mail and parcel deliveries, and messages
    into staff mailboxes
  • Make and record bank deposits and transmittals. Maintain an accurate record of accounts receivable and monthly cash flow activity.
  • Maintain time off records for all employees. Review timecards and attendance registers, record monthly time off data.
  • Assist with preparation of the district newsletter and prepare printed material for mailing
  • Collect and process student information necessary for school reports
  • To coordinate and manage the JMC student data management system, input lunch and student absences daily, compile totals for food service.
  • To coordinate registration/enrollment process, including Kindergarten registration paperwork: communicate with new families regarding necessary registration papers, collect and file all forms, be contact person, assist at annual Kindergarten Round-up each Spring
  • To be the contact person for school student photographs, arrange dates, collect fee, etc.
  • To communicate with Reichert Bus Service, maintains the bus lists, fill out requisitions as needed, send in requisitions in a timely fashion
  • To keep confidentiality of all records and information of students, parents, staff, etc.
  • To act as a liaison to vendors of materials, copier lease company, order supplies, and repair services as needed, know operations of copier/fax and train other staff members, troubleshoot problems if possible
  • To make reservations for special events
  • To keep personnel files on all staff members, track paid time off, sick leave, maternity leave, personal leave, etc. Review timecards and attendance registers. Make sure proper paperwork is done in a timely fashion, signed and filed
  • To work closely to connect with all staff members to ensure strong communication and school management at all times
  • To coordinate inventory control system throughout the building annually, add new items as purchased or
    acquired
Compensation:
  • 7:30am - 3:30pm
    • $17-$20 depending on experience
