Order Administrator, Merchandising

Work Mode: Hybrid

Responsible for processing purchase orders from start to finish to ensure that the order is being delivered to the customer in a timely manner. This person will use their customer service skills to hold vendors accountable for accurate, on-time delivery. They are responsible for tracking purchase order status and resolving all issues that may occur between the purchase order placement and shipment to our customer.

  • Influence and develop new tools and processes that will improve efficiencies within the process.

Specific Responsibilities

  • Enter data and ensure accuracy in the system. Prepare, maintain, and review all relevant purchasing documentation plus pertinent logistics documentation.
  • Manage shipment tracking and communication from shippers to relevant parties.
  • Set-Up new product suppliers through internal system.
  • Manage the purchase order process, which may include creation, approval, submission, and tracking purchase requisitions/orders. Review open purchase orders, and partner with other departments to ensure proper closure.
  • Provide reporting to Merchandising department regularly that enables the tracking of PO’s + status updates.
  • Resolve blocked invoices in SAP and ensure the invoices are being processed.
  • Provide support to the sales staff and/or vendors when needed.
  • Track the status of orders and respond to vendor and/or sales staff inquiries about order status, changes, or cancellations.
  • Enter order confirmations and shipping acknowledgements to the sales staff and/or customers.
  • Contact vendors to schedule or expedite deliveries and to resolve issues, which may include shortages, missed or late deliveries, and other problems.
  • Prepare process documentation in accordance with industry standards and other written guidelines.
  • Post photos of approved products on shared site.


  • High school diploma required. Two-year degree in a business-related field is preferred but not required. Candidates with a variety of backgrounds and experiences are encouraged to apply.
  • Seeking at least 1 year related or relevant experience in supply chain or customer service required.
  • Must possess excellent organizational and prioritization skills with a strong attention to detail with the ability to prioritize and execute tasks in a fast-paced environment.
  • SAP experience is preferred but not required.


The hourly range for this position is $19.00 - $23.75. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
