RESPONSIBILITIES:
We call this position Client Relationship Manager since your primary responsibilities will be to serve as the liaison between our financial advisory team and our clients (and prospective clients). In most cases you will serve as the primary contact for our clients. Your attitude, proactivity, responsiveness and effectiveness in completing tasks must be excellent at all times since your level of performance will be a large part of determining our clients’ level of satisfaction with our services.
The daily tasks for which you are responsible:
Excel in administrative, operational and client service support
Help keep the service team working together smoothly and efficiently
Serve as the primary contact for handling client inquiries
Professionally answer phones and greet clients
Schedule appointments for prospects, clients and other professionals the advisory team would meet with
Maintain the office calendar for each advisor
Act as a primary contact for handling client meetings and transactions, responding to and resolving routine client inquiries
Reconcile securities trades for accuracy
Reconcile commission statements for accuracy
Assist with organizing and tracking new business activities
Assist with preparing proposals and compiling new client packets
Follow up with prospects who have received a proposal
Prepare materials for meetings, as needed
Other duties as needed
Learn and use the firm’s workflow system on a daily basis, which will specifically guide you step by step how to complete any task for which you are responsible
Follow all compliance procedures and assist other team members with doing the same
Assist with any compliance related duties
Submit and follow up on required paperwork
Keep client information in CRM current and enter updates
Maintain inventory of office supplies
Able to create a professional document using notes from others
Working knowledge of IRAs, 401K and 403bs, Required Minimum Distributions (RMDs) and financial services products such as mutual funds, stocks, bonds
Maintain communication with current clients through on-going mailings, email and phone calls
Process mail
Submit business to custodian or broker/dealer
Generate invoices and process payments, when necessary
