Job Description
The Virtual Executive Assistant for Housekeeping Maid Easy will provide administrative support to the Owner, Operations Director and field technicians (house cleaners). Manage/arrange and adjust client and employee schedules as needed. Ensure highest level of customer service through prompt and courteous interaction with clients while handling issues/complaints, reschedules, quotes and new bookings - ALL FROM THE COMFORT OF YOUR OWN HOME. We trust our team members to be self-motivated and capable of managing their own time.
Duties & Responsibilities:
Administrative Support -
• Handle all client house cleaning schedules and assign to appropriate field technician. Manage/communicate changes due to PTO, conflicts requiring reschedules and/or cancellations.
• Answer phones and direct calls and inquiries to appropriate team members.
• Check technicians in / out daily.
• Collect biweekly payroll report and any additional timesheets as needed (i.e. new hires, office assistant) send to Operations Director for processing payroll.
• Assist technicians (mapping, questions, requests).
• Maintain employee PTO calendar and ensure appropriate coverage for client needs, escalate gaps to Operations Director.
• Follow up on prospects, answer eQuotes.
• Manage corporate (info@housekeepingmaideasy) and owner's email boxes - flagging and/or escalating to appropriate person as necessary.
• Assist with coordination of team meetings and events.
• Schedule in-home quality checks.
• Ensure daily time slots are filled, maintain daily jobs minimum.
• Responsible for managing client files: purging, daily stats and reports.
Customer Service -
• Arrange re-cleans and follow ups.
• Document complaints, issue complaint forms to Cleaning Techs
• Make recommendations to Operations Director for Cleaning Tech discipline or termination based on number and severity of complaints.
• Send birthday cards, sympathy, other correspondence to clients.
• Maintain records and monthly stats (sales, cancellations).
• Follow up on prospects, answer eQuotes.
• Carefully monitors customer service and satisfaction, addresses serious complaints, online reviews, in-home accidents (consults Owner as needed).
• Monitor & report to the Operations Director and/or Owner serious changes found in routine reports (spike in cancellations, drop in sales, leads, or conversions).

Job Requirements
We are seeking a highly organized, self-motivated, executive-level administrative assistant with exceptional customer service skills. The ideal candidate will have at least five years' experience working in a fast-paced, professional service oriented environment. Working knowledge of basic windows software such as Microsoft Word and Excel, Outlook and Quickbooks. You must have high speed internet access during normal business hours - Monday through Friday from 8 AM until 5 PM.
