Title: Insurance Channel Operations & Licensing Specialist
Reports To: Vice President, Network Development
Exempt Status: Exempt
Job Summary: The Insurance Channel Operations & Licensing Specialist is responsible for insurance product operations (Dental, Medicare and other applicable products) including all agent / procedure licenses, company / Agency licenses and corporate registrations. This role will also be responsible for working with our Network Partners and internal functional stakeholders (legal, marketing, Call center and IT) to ensure success of our insurance product including developing and reporting on key metrics/KPIs for the insurance vertical.
Summary of Essential Functions: Including but not limited to
Channel Operations
- Manages day-to-day communications and manage relationship with key partners
- Create reports on key metrics, KPIs, status of key activities and product performance
- Support initiatives related to the insurance product including, call center initiatives, key reporting metrics, business process and organizational planning
- Serves as internal contact for all insurance channel operational updates and initiatives across legal, marketing, IT and call center teams with functional stakeholders (e.g., Legal, IT, Call Center, Marketing, Finance)
- Manages and resolves Insurance commission discrepancies.
- Serves as key contract for call center to ensure exceptional service and key performance metrics are met.
- Creates and executes implementation of new products related to insurance
- Manages processes and policies to increase the effectiveness and efficiency of product delivery
- Approves member communications for all insurance products
- Coordinate existing / new product training with key stakeholders
- Creates business requirements documents for enhancements to processes to optimize delivery of service
- Identify short and long-term operational goals to share with management team
- Manages implementation process of new insurance / other products as needed – including creating on-boarding implementation kits, identifying / defining reporting needs, and ensuring a smooth launch of product
Agent/Producer & Company/Agency Licensing
- Gather relevant data for each licensee and renewal
- Prepare and submit state licensing application for resident state
- Communicate with states on application details
- Prepare and submit licensing applications for all non-resident states
- Obtain, file and enter into tracking system each agent license
- Track agent licenses and prepare and submit renewal applications at the appropriate times
- Scan licenses into filing system and run licensing reports, as needed
- Liaison with internal and external stakeholders regarding licenses
- Manage the agent appointment process with Insurance carriers
Other Agent/Producer Licensing Specific
- Schedule pre-licensing coursework, fingerprinting/criminal background checks
- Assist in scheduling licensing exam
- Communicate with states on application details
- Track agent CEUs and send reminders to each agent regarding scheduling and completion of CEUs
Corporate Registrations
- Gather relevant data for each registration
- Prepare and submit each application for domestic and foreign corporate registration/certificate of authority
- Coordinate with registered agent on representation for each state
- Communicate with states on application details
- Obtain, file and enter into tracking system each corporate registration
- Track corporate registrations and prepare and submit each annual report or state tax filing, as necessary, at the appropriate times
- Scan certificates into filing system and run registration reports, as needed
- Liaison with internal and external stakeholders regarding registrations
Miscellaneous Licensing Tasks
- Assist Legal Department in preparing and submitting various other discount medical plan license applications and annual filings
- Track licensing expenses and state fees; coordinate with budget manager to communicate on licensing costs
- Perform research, as needed, to document licensing specifications
- Support all company licensing tasks and provide information, communication and assistance, as needed
Job Qualifications: Minimum Abilities and Skills Required
- BS/BA degree a plus
- Comfortable in a fast paced, growing environment
- Excellent leadership and communication skills
- Excellent writing, organizational, and time management skills
- Enthusiasm for working collaboratively on cross-functional teams and coordinating between them
- Experience managing the licensing process at both the agent and agency level
- Sound understanding of business fundamentals and dental insurance vertical
- Strong analytical/problem solving skills and experience
- Excellent interpersonal, communication (verbal and written), organizational, time management skills
- Self-driven, accountable, has sense of urgency and ownership, and likes to work in a collaborative team environment
- Comfortable adapting in an entrepreneurial environment
