                        Job Description

                        We are seeking an exceptional Office Administrator to provide administrative support to the CEO, Board of Directors and youth programs. Duties and Responsibilities: Support the administrative needs of the CEO in order to enable her to be efficient. Proactively perform general administrative duties such as maintaining meeting calendar, ensuring materials are provided for meetings, making travel arrangements, monitoring incoming phone calls and taking accurate messages, screening appointments, completing expense reports, word processing, developing and maintaining spreadsheets and databases, composing correspondence, preparing and handling the processing of purchase orders, filing, copying, opening and distributing mail, and managing supplies for the Board and committee functions. Perform ad-hoc reporting as needed; Support development staff as needed with donor communication. Ensure professional communications and the production of professional documentationcharts, manuals, surveys, and archive searches. Work with the Development Departments to ensure CEO’s attendance speaking engagements, dinners, and other events as needed. record and transcribe the minutes for Board and select committee meetings. Schedule meeting spaces, on-site and off-site, for various meetings; and prepare Board orientation materials folders.

                         

                         

                        Responsibilities:

                        • Plan and schedule appointments and events

                        • Greet and assist guests

                        • Answer inbound telephone calls and maintain high level communication

                        • Act as a liaison between the organization and its stakeholders

                        • Develop and implement organized filing systems

                        • Prepare office for weekly Board meetings

                        • Represent as the face of the organization

                        • Perform all other office tasks

                         

                        Qualifications

                        Minimum of 5 years experience in office administration or other related fields

                        Ability to prioritize, multitask, and make decisions

                        Excellent written, verbal, and interpersonal communication skills

                        Exceptional attention to detail

                        ​Strong organizational skills

                        Must have a strong sense of discernment

                        Experience in the non-profit industry is preferred

                        Extensive knowledge of office 365 and comfort us various app and technology tools.

                        Etapestry knowledge a plus
