A DAY IN THE LIFE OF AN ADMINISTRATIVE ASSISTANT
As an Administrative Assistant, you are the detail person! We cannot provide our clients with the very best in HVAC and plumbing services without you being attentive to details and keeping our office running smoothly. You assist with scheduling appointments, meetings, and reservations for our owner. You also keep our team on track by making sure that tasks are completed. As needed, you assist our customers over the phone, via email, and in person. Your warm, welcoming demeanor comes through in all of your interactions.
Working behind the scenes, you organize and maintain files and databases, receive deliveries, sort and distribute incoming mail, maintain and order office supplies, receive invoices and review them for accuracy, and recruit new talent. But, really, it's not what you do, but how you do it. You are good at establishing procedures and processes to keep everything flowing and organized. You are an independent thinker who is capable of making good decisions and being proactive. You enjoy your job as you are never bored and get satisfaction out of keeping our plumbing and HVAC business in order!
An associate's degree in business administration is preferred, but not required. Basic knowledge of QuickBooks would be helpful. Bilingual abilities are a plus! Do you have strong verbal and written communication skills? Are you able to present yourself professionally? Do you enjoy talking on the phone and understand good phone etiquette? Are you a customer service extraordinaire? Do you have great attention to detail and organizational skills? Are you flexible and able to switch between shifting demands?
