Real Estate Executive Assistant and Transaction Management

**LOCAL APPLICANTS ONLY (ARLINGTON OR FAIRFAX COUNTY) - needed to meet with clients, contractors, inspectors, help with errands, etc.**

We are hiring a results-driven Executive Assistant and Operations Manager (VA Real estate license required) to support our fun, high energy, and motivated Team. A successful candidate will, self-motivated, a friendly communicator, detailed oriented, problem solver, flexible, and able to juggle multiple and diverse responsibilities. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. They are deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. The Business Operations and Administrative Manager is deeply committed to supporting the lead agent and team in achieving greater and greater levels of success, and to developing into a supportive leader within the team. This is a demanding and fast-moving position that requires a can-do attitude and Candidates should be quick problem solvers, extremely organized, and have some experience in a relevant field.

Compensation - $85,000 - $105,000 - $60K base with commission bonuses for closed transactions

Must be comfortable working from home.

  • Act as the right hand to Lead Agent. Keep the lead agent informed regarding any problems or issues that need to be handled.
  • Handle daily office administrative tasks including but not limited to emails, calls and messages, calendar, and management of CRM database
  • Listing Management - Coordinate pre-listing activities including, professional stager and photographer, meeting contractors and vendors, complete tasks at properties as needed to ensure listings are in top showing condition; Assist in preparing listing documents; Prepare MLS Listings and manage and update our comprehensive Action Plan for each listing.
  • Transaction Coordinator - Contract through Closing – Support the lead agent from contract ratification through post-closing. Assist in coordinating with home inspections, lender, title company, settlement, client gifts to ensure smooth transactions.
  • Manage and maintain the listing and buyer pipelines in the Trello boards.
  • Work with agents to ensure Database is accurately maintained and grown monthly
  • Manage online reviews. Responsible for asking and obtaining 5-star Zillow reviews post-settlement.
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, and back-office support for an efficient, client-focused, and profitable business.
  • Assist Lead Agent with prioritizing, strategizing, and keeping focused on key tasks and projects
  • Phone management - First point of contact in handling customer and other agents inquiries
  • Onboard future Agents Staff per onboarding/offboarding checklist systems
  • Other duties and responsibilities as assigned


  • Virginia Real estate license REQUIRED
  • Ability to work from home remotely, as well as meet with clients, contractors, inspectors, etc

  • Bachelor’s degree
  • A real estate license is required
  • 2 - 5+ years of service, management administrative experience
