The Service Writer/Admin will assist customers and the internal service team including assisting with accounting, customer inquiries, as well as filtering technician requests as necessary. This position is very versatile and will assist with any task associated with assisting the service department.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Greet Customers and answer phones.
Quickly and efficiently contact and respond to client inquiries and schedule work.
Interview clients in a professional manner to determine the needed repairs.
Obtain all necessary information from the customer to establish a business relationship.
Create a Repair Order (RO) by identifying current vehicle condition, estimated repair time, getting quotes/estimates from the shop if necessary, supply any supporting documentation and obtain work authorization.
Creation and close-out of the RO.
Review work performed with client and collect payment.
Communication with Shop Foreman on pertinent RO information and updates.
Answer service calls and deliver timely updates to clients regarding status updates on work being performed and scheduling work.
Answer service calls for status updates on work being performed.
Assist with technicians and service staff to schedule work and ensure necessary parts are ordered.
Call customers when work is completed.
Follow-up courtesy calls to all customers after repairs have been completed.
Close job orders.
Utilize company's Karmak operating system.
Maintain billing for AP and AR.
Assist in month end close process.
Submit payroll for Techs.
Work with multiple Transwest locations throughout Colorado.
Close out credit card machine.
Close deposits / checks/cash/credit card through cashier system - make deposits.
Maintain Cash Supply.
Manage physical file folders and organization of on-site storage.
Assist managing cash schedule.
Other duties as assigned by the manager.
WORK ENVIRONMENT & PHYSICAL ABILITIES:
Requires frequent sitting, standing, balancing, bending or stooping for prolonged periods of time.
Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier,
telephone, calculator and other office equipment.
Ability to communicate by providing verbal feedback in a professional manner.
Ability to receive and analyze data and input into the computer.
Normal range of hearing and vision.
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:
High School diploma or equivalent.
Valid driver's license and good standing MVR.
Previous experience as a service writer or advisor required.
Experience diagnosing diesel trucks is a plus.
Heavy and medium duty truck industry experience is a plus.
Ability to multi-task.
Familiarity with truck repairs or parts experience preferred.
Excellent verbal and communication skills
Ability to successfully complete a general abilities assessment and pass a post-offer background check, physical and drug screening.
