About the Role
Electronic Records and Content Management Capture Administrator is responsible for supporting Corporate Operations and Bank Divisions in the administration of the Electronic Content Management capture program. They will be tasked with implementing various procedures that aid in transposition of paper records to Electronic Records and provide records management expertise to successfully preserve and access information. They will also ensure applicable records preservation and disposal processes are adhered to as relates to the organizations specific requirements and prescribed policies and procedures. They will also serve as a liaison to multiple department managers and project support staff in the use of ECM technologies and provide administrative support to Banking Division team members. They will serve as a key role in the guidance of overall document capture strategy.

DUTIES AND RESPONSIBILITIES:
Serve as a liaison and advisor to business areas for all records and information capture related matters. Collaborate with corporate and division staff to develop electronic content management best practices for specific business needs. Interpret business issues and recommend best practice adoption to building efficiencies in the scanning of paper documents into the ECM systems. Guide and direct Bank Division personnel to ensure document management processes are consistent and managed in accordance to policy. Establish strong relationships with key leadership, business partners, division staff, and vendors with a goal of fostering a collaborative approach to maintaining the Electronic Records and Content Program.
Develop and administer training programs for staff to ensure standardization of electronic document and records systems as well as scanning processes and their effective use. Maintain knowledge and awareness of current industry trends as well as current methods and technologies related to records management. Produce training job-aids and online trainings that support bank divisions in all scanning or capture requirements.
Perform information governance review and process analyses to ensure scanning best practices are implemented. Implement or recommend procedural modifications in the scanning of paper documents to electronic records for each banking division to meet specific needs. Identify new scanning projects that remain compliant with standardized processes but also enhance process efficiencies. Work with the ECM team in the transfer of information to business teams to leverage automation in electronic content management systems and provide continuous process improvement.
Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Must complete the assigned online training courses and achieve a passing score by due date.
A minimum of 3 years experience in financial services or similar document centric field such as Healthcare or Insurance services is required.
A minimum of 1 year experience working with ECM or Records Management processes required. Three or more years preferred.
A minimum of 3-year experience working with ECM or Records Management processes.
Experience providing end user training and support.
Experience transitioning paper based financial documents to electronic formats, including imaging paper files and indexing documents to image repositories..
Working technical knowledge of Content Management systems such as Profit Stars Synergy Document Management.
Knowledge of Windows based file system and how it pertains to ECM Systems.
A high school degree or equivalent required.
AA or BA Degree in Business Administration, Information Technology or Information Systems preferred.
KNOWLEDGE, SKILL, ABILITY:
Proficient in SQL, XML, and HTML.
Strong PC skills with proficiency in Word, Excel, Adobe and PowerPoint.
Excellent analytical and organizational skills.
Excellent interpersonal and verbal/written communication skills.
Ability to coach and interact well with people from various banks and departments.
Must be confident in abilities, detail-oriented and self-motivated.
Ability to work independently with little direct supervision.
Must be Willing to occasionally work flexible hours and be on-call when needed.
Normal courtesy in dealing with others is required. Work involves minimal contacts, usually within the organization. Communications typically involve routine, non-sensitive issues.
WORK ENVIRONMENT: Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.
