        Overview:

        The Administrative Assistant (AA) is a full-time position that provides clerical and administrative support to the Accounting Manager (AM) to ensure efficient operation of the homes and the day program. In this position, you will be responsible for confidential and time sensitive material. Communicating via phone and email are imperative in ensuring that all duties are completed accurately, delivered with high quality, and in a timely manner. Some of the duties include: answering phone calls, emailing, data entry, filing, faxing, scheduling, reporting and completing projects. The ideal person will have great customer service, a good attitude, integrity, and be flexible with extra projects assigned. The AA will work as a team and may occasionally work independently. The AA should rely on experience and judgment to plan and accomplish goals as a wide degree of creativity and latitude is expected.

        Requirements:

        • COVID-19 initial test
        • Criminal background check
        • Valid health screening and TB clearance
        • Must be 18 years of age or older
        • High school graduate or equivalent
        • Must possess a valid state driver's license
        • Must be able to lift at least 15lbs
        • Must have some knowledge of Microsoft Excel and Word
        • Prior office experience desirable
        • Knowledge of QuickBooks would be helpful
        • Additional certifications may be required by regulations

        Duties and Responsibilities:

        • Flexibility in schedule and time
        • Organizes and maintains confidential files with judgement and tact
        • Excellent telephone etiquette and keyboard skills
        • Ability to multi-task various projects
        • Date entry in our application software
        • Prepare and present regularly scheduled reports
        • Produce and distribute correspondence memos, letters, faxes and forms
        • Organize and schedule deadlines, meetings, and events
        • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
        • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
        • Contribute to team effort by accomplishing related results as needed
        • Carry out clerical duties such as filing, typing, copying, binding, scanning, faxing etc.
        • Maintain up-to-date employee holiday records, vacation and sick time
        • Backup files into an external drive daily
        • Additional duties may be assigned from time to time
