      Job Description

      Administrative Assistant Bookkeeper

      Full-Time Position

      Ottsen Oil Company is now hiring an Administrative Assistant Bookkeeper to join our team. Administrative Assistant Bookkeeper responsibilities include keeping financial records updated, preparing reports, and reconciling bank statements. You will also run accounting software programs to process business transactions, like accounts payable and receivable, disbursements, expense vouchers, and receipts. A successful accounting assistant should be familiar with all accounting procedures and have a flair for numbers.

      Essential Job duties:

      • Calculate the costs of goods and services
      • Provide accounting and clerical support to the accounting department
      • Track and record deliveries to customers
      • Prepare general ledger postings and statements
      • Reconcile accounts in a timely manner
      • Distribute invoices for sales review
      • Keep accurate records in accordance with company standards
      • Perform all other office tasks
      • Process invoices for payment
      • Research and resolve discrepancies
      • Maintain and update various spreadsheets in Excel

      Essential Job Skills

      • At least 3 years experience in an accounting or A/P clerk role (or equivalent education and experience) required
      • Proficiency in MS Office; Excel, Word, PowerPoint required
      • Proficiency in Quickbook required
      • Ability to multi-task and re-prioritize a must
      • Excellent attention to detail
      • Strong 10 key data entry skills a plus
      • A highly motivated individual who maintains a positive attitude, even under stress
      • Good oral and written communication skills
      • Demonstrated team player

      Schedule Requirements

      Administrative Assistant Bookkeeper must be available to work an average of 45 hours per week. General office hours are 8:00 am – 5:00 pm, Monday through Friday. Occasional weekends could be required.
