SUMMARY OF DUTIES This position will handle benefits and a variety of tasks relating to benefit administration, OFCCP Compliance, training, and workers' compensation. The Benefits, Training and Compliance Coordinator will be expected to maintain the benefit system for the Northwest Division under the direction of the HR Director and HR Manager in accordance with established guidelines and in cooperation with representatives from Kaiser, Anthem, VSP, MetLife, Lincoln, Valic, Standard Insurance, Reliastar Life Insurance, Aflac, Epic Hearing, Free and Clear, THQ, and the corps/units. This position will also oversee our Affirmative Action Plans and OFCCP compliance. This position will also lead training and special projects as assigned by the Human Resources Director, including special employee events (e.g. open enrollment, brown bag seminars, Employee Appreciation Day, Christmas party), confidential investigations, and other HR related projects and assignments. Due to the heavy volume of work, especially during the Christmas season, it is unlikely that any vacation requests will be considered during this time (November and December). The Benefits, Training and Compliance Coordinator will be expected to interface with the Payroll Manager, Human Resources Director, and HR Manager relative to employee health, dental, and other benefit issues, including 403(b), FSAs, etc. and to cooperate in the maintenance and reconciliation of the benefit system. This position is also responsible for handling the processing of Employees' Education Grants and Short-Term Disability enrollments and applications. The position must possess a thorough understanding of the benefits program and be able to explain them to employees as part of the orientation process and during open enrollment periods as well as other times throughout the year. ? Administers various employee benefit programs such as medical, dental, Aflac, Standard Insurance STD, FSAs, EAP, 403 (b), retirement plan, life insurance, Wellness program, approved holidays, regular and United Way floating holidays, etc. ? Coordinates HR procedures to initiate benefits such as retirement, disability insurance, medical, dental and life insurance. ? Implements new benefits programs; arranges and conducts employee information presentations and enrollments. ? Verifies the calculation of the monthly premium statements for all group insurance policies and maintains statistical data relative to premiums. Resolves administrative problems with the carrier representatives as needed. The Benefits, Training and Compliance Coordinator will be responsible for the following: A. DAILY/WEEKLY: ? Process new hire enrollments and terminations on a weekly basis, adding and removing deductions as appropriate and according to established rules and procedures. ? Obtain medical and dental application/waiver/authorization/deduction forms from new employees and those employees, whose status has changed from part-time to full-time, thus making them eligible for full-time benefits. ? Process the Employees' Education Grants through CFC and THQ's Education Department, ensuring the documentation is complete. ? Process the Short-Term Disability Enrollment forms, completing the forms, entering the deductions into the payroll system, and forwarding the originals to THQ. ? Process all LOA and FMLA requests, ensuring eligibility and accuracy. ? Notify the Payroll Manager of any LOA and FMLA requests in order to ensure the payroll system is configured correctly. ? Send any leaves that will exceed six months to THQ for approval. ? Assist with adding new hires in the payroll system. ? Conduct new hire orientations for DHQ employees as needed re: benefits, FSA, Fitness, STD, etc. ? Notify THQ of any employees, who participate in the FSAs and are terminating or going on a leave of absence. ? Complete UI and employment verification forms as needed ? Answer benefit related questions and issues as they arise. ? Oversee the Wellness program. ? Assist assigned corps/units with their HR issues, questions, and challenges according to THQ policy, federal, state, and local regulations. This position is the initial contact for their assigned corps/units, so professionalism and timely handling of matters is paramount. ? Create and maintain personnel, PTM, and Form I-9 records as needed. ? Process all new hires through Sterling's E-Verify system within three business days and enter new hires in UltiPro. B. MONTHLY/QUARTERLY: ? Process the health insurance forms for employees in the division and update medical/dental enrollment. ? Process the Aflac bills, reconciling the invoices for the entire division. ? Process 403(b), life insurance/long term insurance, reconciling the invoices for DHQ, corps and units. ? Conduct monthly or bimonthly orientation sessions for new hires in Seattle and King County. ? Conduct anti-harassment and other types of HR training in the field on a quarterly basis ? Conduct confidential investigations as assigned by the HR Director. ? Complete the locations on the Reimbursable Benefit Payment Notices and forward them to the Revolving Fund Accountant D. ANNUALLY: ? Conduct open enrollment meetings for the various benefits, ensuring that all eligible employees understand their benefits. ? Assist the HR Manager and HR Director with the processing and hiring of Kettle Workers and other seasonal employees. ? Assist the HR Director with special employee events such as brown bag seminars, Employee Appreciation Day, and the DHQ Christmas party. ?
