In this exempt-level position, you would provide administrative support to the President/CEO. This includes managing and performing high level administrative functions and acting as a liaison for Board and management communications within the Executive Office. You would be instrumental in coordinating monthly Board of Directors and Supervisory Committee meetings, recording minutes, and maintaining corporate governance records. You would coordinate the planning of Board and Executive-related events and offsites, and travel as appropriate. In addition, you may provide support to the Senior Leadership Team, Board of Directors and Supervisory Committee members, as needed.
Assists the CEO as appropriate with timely management of communication, independently composing letters, memos, presentations and other documents requiring interpretation and application of SMCU policies, monitoring follow up with all distributions that require answers, response and written replies.
Assists the CEO with the creation of the monthly board packet, including compiling reports from several sources, formatting, editing and distributing as needed.
Coordinates meetings of the Board of Directors, Supervisory Committee, Board subcommittees and ad-hoc committees appointed by the Board, scheduling, reserving and preparing facilities, preparing agenda, meeting materials and communications for meetings, and taking meeting minutes.
Plans and coordinates the annual Board Planning session and other Board events.
Prepares and maintains Board governance records.
Administers the board digital portal, managing users and content.
Writes and edits reports, prepares executive summaries and transcribes correspondence from handwritten notes, creating charts, graphs and tables for reports, as needed.
Coordinates travel arrangements and process expense reports for the CEO, Board of Directors and Supervisory Committee members.
Assists with planning and coordinating visits of special guests and related events, ensuring appropriate officials and management are notified of visits.
Coordinates organizational meetings of the Board of Directors including election process and tracking vacancies.
Maintains confidential and sensitive files and records for the CEO, Board or Directors, Supervisory Committee, and members of management team.
Answers phone calls to the Executive Office and determines, within established guidelines, if executive action is required and followed-up on.
Maintains a high level of knowledge regarding credit union bylaws, policies and procedures.
Develops and maintains effective working relationships, communicating with the Senior Leadership Team and managers to gather and convey information pertaining to office and responsibilities.
Acts as a liaison with all levels of management and staff. Coordinates resolution of problems and issues related to administrative matters of internal and external nature.
Regularly interacts with and provides support to members of various committees and outside Boards upon which the CEO serves.

Minimum of five years' administrative experience including three years professional experience performing executive support in a corporate level.
Bachelor's Degree in Business, Communication or related field preferred.
Exceptional interpersonal skills with the ability to interact and deal effectively with officials, senior-level executives, staff and community leaders.
Excellent writing, grammar and proofreading skills with the ability to construct correspondence, memorandums, etc. at a professional level.
Strong administrative skills with the ability to complete complex projects with minimum amount of instruction and resolve complex administrative issues independently.
Excellent Microsoft Office skills, including an intermediate level of proficiency with PowerPoint, Word and Excel.
Effective organizational skills with the ability to organize and prioritize work and to meet deadlines.
Ability to keyboard 50-60 words per minute.
