Job Description

The Finance/Commercial Specialist reports to the Senior Director of Sales and Business Development of the company. The Specialist will be responsible for being the primary support, with A/P and other duties to be extended to the corporation and worksites. The ideal candidate must be able to work remotely from home and able to keep a normal workweek day schedule. This is a full-time position. Candidates must have a Bachelors Degree with an emphasis in accounting/finance, (or have a BS), with 5-10 years of related experience.

 

Responsibilities:

  • Handle AP mailbox and obtain approvals from Operations Manager
  • Upload invoices in workflow and complete coding of invoices (ledger code, cost centers)
  • Check printing
  • Reply to vendor inquiries
  • Deposit check received from customers
  • Maintain tax relating forms for all and existing vendors
  • Enter freight outward bill in and match entries
  • Ensure all vendors are up to date on monthly basis and advise of any past due accounts to Operations Manager bi-weekly
  • Handle salary sheets
  • Extract new customer information from D&B report for the sales team as needed
  • Review customer accounts weekly and reach out to customers on overdue bills/payment
  • Serve as back up for Operations Manager – pertaining to all duties such as warehousing/logistics/customer service
  • Receive Sales Order Confirmation (SOC) request from Sales Manager and check SOC request against customer PO, as back up to the Operations Manager
  • Invoice generation and sharing with third parties
  • Receive and store soft copy of the shipping documents
  • Coordinate with broker/agent for customs, inspections, and clearance of goods
  • Track the delivery of material to the warehouse with carrier and enter shipment into the database when it arrives
  • Collect the receipts from the warehouse and POD’s from the ship lines
  • Handle the PO Matching session that goes along with inbound receipts Check goods receipt from Warehouse for any discrepancies in quantity, batch number, or damage
  • Report to insurance in case of any discrepancies
  • Other responsibilities as needed

Requirements:

  • Bachelors Degree (Accounting, finance, or BS required)
  • 5 to 10 years of related experience
  • Microsoft Word and Excel

salary is commensurate with experience
