    Previous experience as an administrative assistant or secretary in an academic setting or other professional setting.

    Skill in preparing well-written, grammatically correct, accurate documents and correspondence with strong proofreading skills.

    Knowledge and demonstrated proficiency in using Microsoft Office. i.e. Word, Excel, Power Point and Outlook.

    Strong organizational skills, especially in terms of attention to detail and problem solving.

    Excellent interpersonal and communication skills.

    Ability to multi-task, prioritize workload and exercise appropriate initiative while working independently or in a team.

    Knowledge of graduate admissions policies and procedures.

    Ability to work with difficult situations, time pressure and interruptions.

    Job Description

    The Administrative Assistant III will be responsible for providing direct administrative/clerical support to the Associate Dean for Graduate Programs in the McCoy College of Business Administration, Dean's Office at Texas State. The Administrative Assistant III is the primary support to the Dean, Associate Dean's, faculty, staff and students in providing assistance and support to the main office in the McCoy College of Business.

    The Graduate Program in the McCoy College of Business is dedicated to pursuing and providing the knowledge and skills that prepare graduate students for key management responsibilities in today's complex and dynamic global business environment. The Graduate Program challenges students to develop the knowledge, skills, and abilities necessary to advance their personal and professional objectives through an environment of teaching excellence, complemented by scholarly research and service.

    Job Duties

    General duties in support of Associate Dean:

    Be the direct support to the Associate Dean for graduate programs. Be the direct support to faculty, staff and students regarding graduate information.

    Serve as the colleges liaison with the Graduate College.

    Use BDMS, Degree Works, Graduate Student Recruitment and Admissions System (SLATE) and LOGI on a daily basis to run reports and process new student applications.

    Assist in coordinating with Graduate Policies Committee and academic program admissions committees.

    Communicate with prospective students. Assist the Associate Dean with mentoring and advising students, program recruitment, and retention initiatives. Comprehend admission policies set forth by the Graduate College and the McCoy College of Business.

    Process graduate scholarships & fellowships.

    Prepare packets for info sessions. Edit/proofread documents: graduate catalog, brochures, advertisements, advising documents.

    Assist in graduate student registration when needed.

    Process degree audit changes and maintain graduate student files.

    Process undergraduate and graduate grade appeals.

    Process Visiting and Non-degree seeking applications.

    Hire and supervise Graduate Assistants who assist this position and the Associate Dean.

    Perform other duties as assigned.

    General duties in support of the Dean's Office:

    The Administrative Assistant III will use independent judgment to organize and prioritize work while working in a team-oriented, fast paced environment.

    Assist the Sr. Assistant to the Dean in the office with supervising the daily operations of the office and provide primary support for the reception of guests and calls in the office.

    Assist in monitoring the progress of assignments delegated to the student employees for the office.

    Assist in supervising and hiring staff and student employees. Prepare hiring PCRs if necessary.

    Prepare, collect, process and file personnel paperwork.

    Attend administrative staff meetings.

    Oversee the distribution and collection of faculty forms/reports: nominations forms and faculty evaluations.

    Oversee the processing of undergraduate/graduate probation, suspension, grade, and reinstatement appeals.

    Assist in the purchasing of goods/services in accordance with university policy when necessary.

    Assist the colleges staff and events coordinator with arrangements for meetings or special events.

    Assist with the monitoring of department equipment inventory.

    Process travel requests/reimbursements for the office staff when needed.

    Assist in organizing and maintaining department files/records in accordance with university retention polices.

    Perform other duties as assigned.
