                        Job Description

                        Kitsap Humane Society (KHS) is one of the leading animal welfare shelters in our Pacific Northwest region. Our mission is to rescue, rehabilitate, and rehome homeless animals. We are committed to an open admissions policy, animal rehabilitation, a low euthanasia rate and excellence in all of our services. KHSs open adoption philosophy is an essential part of our progressive mission, enabling us to save and rehome over 6,000 animals each year.

                        POSITION SUMMARY:

                        The Veterinary Operations Manager (VOM) is responsible for the daily operational oversight of the Veterinary Services department to meet objectives for operational efficiency, budget, and high-quality medical care. The VOM supervises the veterinary technicians, veterinary assistants, clinic externs, and department volunteers to maximize the efficiency of population flow. The overall goals of the department are to provide excellent veterinary services to external and internal customers while also fulfilling monthly budgeted volume requirements of patients served and spay/neuter surgeries delivered. This position reports to the Director of Shelter Medicine (DSM) and also coordinates closely with the Director of Animal Welfare and other leaders within the shelter within a collaborative multi-department team culture that works to fulfill the mission, goals, and phi­losophy of Kitsap Humane Society (KHS).

                        SUPERVISORY RESPONSIBILITY:

                        • Supervise all departmental support staff
                          • Includes hiring, training, scheduling, payroll, performance reviews, oversight, disciplinary actions, and terminations
                            • Maintain the department work structure by updating job requirements and job descriptions
                            • Establishing protocols for interview and hiring of Vet Assistants and LVTs
                            • Prepares employees for their positions by establishing and conducting orientation and training programs
                            • Prepares and administers necessary disciplinary actions, terminations, employee grievances and employee counseling
                        • Supervise clinic externs and volunteers
                          • Includes recruitment, training, scheduling, oversight, feedback/coaching and terminations
                          • Maintains communication with local veterinary technician and assistant training programs to coordinate extern opportunities with Kitsap Humane

                        KEY OR ESSENTIAL FUNCTIONS:

                        • Coordinate closely with other Managers, Directors and Coordinators across the shelter, including Foster, Transfer, Animal Care, Customer Service and Adoption departments to ensure efficient animal flow including during seasonal changes in shelter population, special events, etc. while also providing high quality medical and surgical care.
                          • Point of contact for vet services related questions from other departments, consult with DVMs/DSM as needed
                          • Facilitates cross-training of staff from other departments in vet services duties as needed
                        • Partner closely with the Director of Shelter Medicine in the operational delivery of veterinary services. Make recommendations to the Director after assessing and identifying opportunities for improvement in workflow, practices, plans and decisions to ensure efficient, high-quality, and budget-conscious operations within the vet services department.
                        • Develop and maintain reports as needed for the department- i.e. Patient Tracking, S/N data, Daily S/N list, ARC lists, Euthanasia Performance, Grant data and reporting
                        • Follow the established annual budget for the department
                          • Work with DSM to submit annual department budget proposals
                          • Review expense and revenue monthly reports with DSM and strategizes ways to improve revenue streams and effectively manage
                        • Maintain SOP manual for department, review suggested additions/edits with DSM
                        • Maintain inventory of medicine and supplies, carrying out regularly scheduled inventory checks and controls
                        • Maintain controlled drug logs, performing quarterly controlled substance inventory
                        • Schedule yearly equipment maintenance
                        • Conduct regular departmental meetings and ensures needed timely staff updates
                        • Provide updates to shelter-wide departments on an ongoing basis
                        • Represent the department at weekly Animal Welfare Committee (AWC) meetings
                        • Is an active participant at weekly Program Management Team (PMT) and periodic Executive Program Management Team (ePMT) as a mechanism to ensure close interdepartmental coordination between the work of the Veterinary Services department and the Shelter.
                        • Prepare and participate in daily rounds
                        • Maintain task lists for assistants
                        • Ability and willingness to step in and perform hands-on primary care duties across the department as needed including medical assessments, assistance in surgery, treatments, euthanasia support, and animal husbandry tasks in order to meet department goals and maintain a high level of productivity, especially during periods of high workload.
                        • Cultivate relationships with vendors and representatives
                        • Build relationships with, and serve as point of contact for local veterinary clinics
                        • Facilitate client relationships and address questions and concerns regarding our low-income services

                        COMMUNICATION/INTERPERSONAL CONTACT:

                        • Daily verbal communication with department and other operational staff, as well as written communication via written procedures, memos, and emails
                        • Daily verbal communication with adopters, volunteers and spay/neuter clients through direct contact, over the telephone, or written communication
                        • Weekly to monthly communication with administrative staff through meetings, written memos, emails or telephone
                        • Written or telephone communication with veterinarians, veterinary technicians or animal welfare agencies as needed
                        • Address concerns with supervisor, other directors and employees in a timely, direct fashion.

                        COMPLEXITY:

                        A high degree of independent judgment is required. Diverse duties on a weekly basis are to be expected, as routine varies day to day. Formal policies and procedures are followed or developed as needed. This position requires the ability to address the daily medical needs of the shelter population and low-cost patients, while also accomplishing managerial functions at the same time. Must be able to maintain concentration on a task, or series of tasks, while dealing with frequent interruptions, and address any issues in a timely fashion.

                        KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:

                        • Minimum of 2 years leadership experience managing a high-volume patient clinic; veterinary or animal welfare experience strongly preferred
                        • Confident management and leadership skills. Skilled in supervising clinic staff.
                        • Ability to thrive in a fast-paced, high volume environment with multiple priorities; sound organizational and planning skills to determine work priorities, schedules, and time
                        • Must be effective communicator with exemplary skills in email, verbal and team-based communications and conflict resolution
                        • Basic computer knowledge/experience and familiarity with MS Word and Excel
                        • Start-up experience with the development of community facing veterinary services programs preferred
                        • Experience supervising student externs and volunteer team members preferred
                        • Knowledge of general animal health, behavior and nutrition preferred
                        • Knowledge and proficiency in veterinary diagnostics, treatments, and animal handling techniques preferred
