Job Description

This position is supporting the administrated tasks at the Worcester Vocational Tech School and North High School Based Health Centers.

Job Summary:  To provide general secretarial and clerical support and administrative assistance and site assigned.

Essential Functions:

  • Performs general secretarial and clerical duties, including document preparation, copying and filing, calendar management, database management.
  • Greets public in person and on the telephone, provides general information, answers questions and directs individuals to appropriate party as necessary.
  • Establishes, develops, maintains and updates filing system (paper or electronic) for department. Retrieves information from files when needed. Establishes, develops, maintains and updates forms and databases.
  • Receives, collects, sorts, forwards  and distributes mail and faxes per protocols and follows up on returned mail
  • Order and maintains adequate inventory of office and other supplies as assigned and maintains the supply stock in an organized fashion. Manages invoices for supplies received and sends them to purchasing.
  • Schedules appointments as assigned, manages conference room schedules, and maintains information on scheduled activities or events with other health center departments or out agencies. Provides administrative support for  staff meetings
  • Act as a liaison and communicates with departmental and site staff, other departments, patients, and with the general public, as assigned.  Handles confidential and non-routine information and explains policies when necessary.
  • Manage, or assist in managing, data information collection and  records, including patient records,  required in the department(s)
  • Maintains the administration reception area as an organized and welcoming space.

 

Education and Experience:

 

  • High School Diploma or equivalent
  • Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 1+ years related experience
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
