    Our Client in Livermore has an excellent opportunity for an Administrative Assistant! WILL TRAIN - 4 YEAR DEGREE REQUIRED

    The Administrative Assistant provides administrative support to assigned project team for the day to day activities on projects. The Administrative Assistant must enjoy working in a fast-paced environment and show individual initiative in daily work to support the Project Team. Teamwork is a main focus with a positive and professional attitude.

    Job Description

    • Administration of sub-contracts and all associated construction documents from project start-up to close-out
    • Submittal requests from vendors and processing and submitting to owners
    • Prepare and send Invitations to Bidders.
    • Manage email and calendars, scheduling meetings, resolving scheduling conflicts efficiently and with minimal disruption to participants.
    • Order, edit and distribute drawings.
    • Review, scan and upload all required construction compliances and documents
    • Aid the project managers, superintendents of your project teams.
    • Manage the start up and filing of all project documentation including contracts, change orders, approved submittals, RFI logs, meeting minutes and other necessary project documentation.
    • Collect and prepare project close-out binders.
    • Maintain job site records and offer assistance to Project Managers and Superintendents

    • Assist in subcontracting outreach and bid process
    • Prepare and maintain physical files for subcontractors and vendors.

    Job Requirements

    • Must have a 4-Year Degree (Non-specific)
    • Excellent computer skills; Microsoft Outlook, advanced Microsoft Word, Excel, (includes creating, editing, and maintaining various applications as well as creation and maintenance of spreadsheets in Microsoft Excel)
    • Strong verbal communication skills
    • Sharp problem solving skills Proactive/ Time management skills
    • Heavy organizational skills detail oriented

    Shift:

    • 8:00am-4:30pm
