Position Description

Position: Office Coordinator


The Office Coordinator maintains the overall operation of the office including the interpretation and implementation of policies and procedures, such as: dress code, punctuality and attendance. Provide training and daily guidance to staff to ensure performance excellence. Strong focus on managing operational matters efficiently as it relates to the smooth operation of the office and clinic. Ensures physicians and patients are highly satisfied with their experiences at the office.

Directly supervises Medical Office Specialists, Ophthalmic Technicians / Scribe and Ophthalmic
Photographer / Technicians and proactively addresses personnel issues.
Establishes and monitors staff schedules.
Coordinates patient schedules per each physician's preference.
Maintain office relations with referring physicians and other offices.
Monitors staff time clock punches and makes necessary corrections.
May perform surgery scheduling and the necessary authorizations for patients.
Ensures patient flow is maintained properly.
Proactively identifies and solves patient concerns.
Expert knowledge of insurance carriers and need for any referrals and/or prior authorizations required for various procedures and/or drugs, seeks additional information if needed.
Expert knowledge of drug assistance programs and completes necessary patient enrollment in programs as needed.
Responsible for ensuring that designated staff are able to enter accurate procedure codes and charges for all procedures and drugs used in our practice, including the correct diagnosis codes.
Able to perform both check in and check out functions and alternates schedules with other front desk employees.
Coordinates some external tests for patients.
Proactively identifies IT issues (equipment/phone) and facilitates resolution.
May work with research coordinators/study patients in scheduling and staffing.
Ensures that the Voice Message / Phone Call system is set appropriately depending on circumstance i.e.: Holiday, Weekend, etc.
Expert in Practice Management system.
Solid foundation in ARC Electronic Medical Records system.
Insures adequate inventory of office and clinical supplies.
Oversees all paperwork and/or electronic communications and data entry for accuracy and timely submission.
Provides consistent, excellent customer service.
Provides supervisor and Administration with reports as required.
Travel to other ARC locations as assigned.
Responsibilities may be dependent on specific location and not required of all employees in that position.
Performs all other duties as assigned, which may include assisting in other departments within Associated Retinal Consultants and at other locations.

High School Diploma or equivalent.
Proficient keyboarding skills, knowledge of database systems and comfortable with electronic mail and instant messaging systems.
Analytical and problem solving skills.
Demonstrated leadership and training ability.
Strong oral and written communication ability.
Excellent interpersonal skills to work effectively with others (teamwork) and provide superior customer service to patients.

Reports to: Reports to Operations Manager for region or Administrator directly. All employees report to the company Administrator and Physician Partners.
Directly Supervises: Not applicable

Work Schedule: Varies, but typically Monday through Friday with working hours ranging from 7:00 a.m. to 7:00 p.m. Potential for Saturday work hours depending on location. Work shift hours vary depending on employment status, but generally are 8 hours in length.

FLSA Status: Non-exempt

Moderate physical activity (standing, bending, sitting, walking, pulling and lifting) for most of the work shift.
Clean office environment.
Potential exposure to body fluids with direct patient contact.
Possible hazardous chemicals.
