We are looking to hire one full-time Customer Service/Order Entry Rep for our two-person Customer Service on a contract to Hire basis. This position will be 50%+ data entry/editing of sales orders/repair billings/credit memos, and requires professional interpersonal and written communication skills with customers/internal peers. Positive customer service personality, strong work ethic, proactive teamwork, and high level of accuracy/attention to detail are vital.

Qualifications:
- 2+yrs Data entry and Customer service experience
- 40+ WPM
- experience w/an ERP or Accounting system (Navision preferred)
- AAS IT or Technical field (preferred) OR equivalent work experience

Basic Function:

- Support the Sales/Customer Service Department with data entry of customer purchase orders with speed, accuracy, and efficiency to achieve a high level of customer satisfaction. Provide proactive responsiveness and follow-up to all customers’ purchase orders and requests regarding products, services, and customer account information. Professionally communicate to enhance relationships with all external customers and internal interdepartmental peers to achieve a high level of customer satisfaction.

Key Responsibilities (Shared Between Two-Person Customer Service Team):

Sales Order Processing (50%+)
- Data entry of customer sales orders received via e-mail and EDI; modify sales orders as needed
- Edit sales orders for quantity/part #/pricing/shipping instructions/ship-to address/special requests
- Processing/data entry of credit memos
- New customer account set-up and technical support repair billing
- Sales order document management
- Credit card processing/security compliance

Customer Call-Center/E-Mail Support
- Order build status and order shipping status
- Product pricing inquiries/basic sales quotes
- Inventory availability/allocation and backorder status
- In-transit shipment tracking
- Prompt dispute resolution for order entry/pricing/order picking errors
- Basic sales-related product knowledge inquiries
- Strategic referral of end-users to authorized MTI resellers
- Liaison between Resellers and Technical Support
- RMA status

Internal Interdepartmental Communication/Coordination/Follow-up
- Credit Dept. – new account set-up, credit approval/hold/release, payment disputes, credit memo processing
- Shipping/Freight – expedite special orders, resolve order picking issues, shipment delivery status, freight damage product
- Integration – blanket order production scheduling, expedited non-stocking special builds
- Technical Support – technical trouble-shooting solutions, product quality feedback, escalated customer dispute resolution
- Repair Dept. – RMA processing/status update, repair backlog status update, product repair dispute, warranty coverage service

Updating and Maintaining Daily/Monthly Reporting
- Sales reports
- Vendor specific reports
- Other reports as assigned
