About this job

The Coordinator III, Contracts and Proposals is the primary lead overseeing / supporting / coordinating all ECM office activities associated with the production and delivery of proposals, presentations, and completed pre-qualification statements/questionnaires; and to support and execute all duties associated with the administration of contracts documents, including website management, records archiving, compliance monitoring and audits. The position may also supervise and direct the activities of others to support the accomplishment of these overarching objectives.

Fully understand customer RFP requests and initiate all bid response documents for each proposal; edit, modify and coordinate all components of the response; produce all first draft templates for the matrixed bid team; and support developing strategy for the response based on customer bid documents; create and maintain entire proposal schedule for the Business Unit (BU); secure and manage all needed BU resources to support proposal process; establish / maintain SAP / SAP CRM systems to support the proposal and contracts administration processes.

Oversees and leads the matrixed proposal process / coordinates proposal activity of other coordinators and with other BUs or venture partners as required; produces final proposal documents; coordinates all management reviews; submit proposals; provides support to post bid / pre-award activities; conducts Operations hand-off / transition activities for awarded contracts.
Responsible for continuous improvement of proposal product, look and content, and process improvement for contract administration activities

Support the Director with workload management and assignments for the department, maintaining RFP tracking and reporting.

Maintain and submit revisions to ECM proposal / contract admin procedures and process flows.
Support contract administration activities as required for awarded work.

Strong verbal and written business communication skills relevant to the preparation of proposals, presentations, and qualifications packages. Working knowledge of current practices in bid, proposal and contracts administration processes and services.Excellent organization and time management skills; and ability to manage multiple proposals and proposal teams with demanding delivery schedules

QUALIFICATIONS

High degree of profiency using Microsoft Outlook, Word, SharePoint, Excel, PowerPoint, Adobe CS 5 and Reader, SAP SAP CRM; and ability to perform job-relevant research via the Internet.

Information management - i.e., ability to prioritize, organize, update/revise, archive/retrieve, and present appropriate data and information in customer deliverables.

Supervisory/management skills, as this position may directly supervise and oversee work tasks of others assigned to the department.Strong management skills to coordinate direct reports and matixed bid teams; able to manage all processes with minimal oversight

Deadline management and quality assurance - i.e., ability to perform multiple projects and assignments under strict, customer-driven time constraints and quality requirements.

Previous experience working with large contract proposals.

Background in energy is a plus

Bachelor's degree (preferred), with 5 years related experience

5 years in managing proposal and contract administration process
