We have an immediate opening for a Catering Administrative Assistant .

Must be able to work various shifts per week.

Requirements

GENERAL PURPOSE
Assist the Director of Catering and Convention Service Manager in obtaining customer satisfaction by performing clerical and administrative duties relating to Catering and hotel communications and sales.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Answer phones and ensure all inquiries are dealt with accurately, timely and in a professional manner (within the same business day or by 10am of the next business day).
  • Type correspondence, reports and forms as well as prepare simple written correspondence.
  • Assign leads to the appropriate Manager. Access the various sites at least three times a day (8:00 am, 12:00 pm and 4:00 pm) ensuring the leads are assigned promptly.
  • Prepare and distribute the Daily Events, 12 Day and other departmental reports.
  • Prepare USB’s for daily use in the Digital Reader Boards *Create and maintain files for all Catering/Convention Service Accounts within one business day of receiving information *Weekly (Monday before 10am) prepare and submit the appropriate information to Starwood for MPSI results *Maintain a stock of a minimum of 10 Wedding Packets prepared in the office and another 5 at the Front Desk for Walk-ins and Appointments.
  • Assist the Director of Sales and/or Director of Catering with reports, projects, proposals and special events.
  • Maintain timely and effective paper flow and communications within the sales area.
  • Assists guests/clients with changes and special requests as needed.
  • Maintain the Departmental Checkbook, process Purchase Orders, Check Requests and Expense Reports.
  • Order Office Supplies for the Sales & Catering Department.
  • Post SPG points for groups and events
  • Create and maintain mailing lists in Constant Contact for promotional blasts

JOB QUALIFICATIONS

  • Ability to type 60 WPM, Microsoft Office, Excel and PowerPoint. Alphabetizing, grammar and punctuation. Standard business letter formats. Strong editing skills.
