Manages and monitors the on-boarding process of independent Medicare agents. This position will also oversee the processing of post-enrollment applications. The Agent Operations Coordinator will ensure the smooth on-boarding of independent agents through diligently managing all required functions to operationalize agents (licensing, error and omission coverage, carrier contracting, carrier appointments and product certifications). This key position will also be responsible for ensuring all required post-enrollment administrative functions are executed appropriately and efficiently. Your work will be rewarded! 

Positions in this function provide sales support and administrative services to non-employee sales producers such as broker agents, field marketing organizations, and independent contract agents. Ensures proper completion of contracts, marketing agreements, and documentation of sales targets. May administer programs and monitoring to ensure compliance with external agent credentialling and training requirements. Acts as internal liaison and customer service resource for external producers relative to enrollment and policy questions, systems issues, and coordination of materials fulfillment. As one aspect of broader support role, may manage administrative aspects of commission payments such as routine tracking, reporting, and troubleshooting issues relative to missing or disputed payments. (Jobs focused on agent incentive design belong in human capital, and jobs focused primarily on payment decisions and non-routine sales analysis/reporting belong in Finance.)

Primary Responsibilities:
  • Ensure the smooth and efficient on-boarding of independent agent licensing, contracting, carrier appointments and certifications.
  • Verify agent error and omission coverage meets all State and CMS guidelines. 
  • Ensure the accuracy of agent on-boarding reporting while continually providing leadership with status updates. 
  • Track, monitor and manage agent state licenses, carrier contracts and appointments.
  • Manage agent carrier product suite certifications and all associated training requirements. 
  • Strengthen carrier relationships on behalf of Optum and all FMOs under contract.
  • Increase onboarding process efficiencies and provide recommendations for further improvement.
  • Ensure the completeness and accuracy of all submitted applications.
  • Oversee all administrative functions associated with post-enrollment processes.
  • Extensive work experience within own function.
  • Work is frequently completed without established procedures.

  • May act as a resource for others. 
  • May coordinate others activities.

Requirements

Required Qualifications:
  • 2+ years Medicare experience
  • 1+ years' experience in agent
    contracting, licensing and carrier appointment processes
  • 1+ years' experience with operations
    coordinating
  • 2+ years MS Office experience with
    Excel-data entry, sorting, formulating and report development.
    Word-documentation creation, spell check. 
  • HS diploma/GED

  • Bachelor's Degree preferred
