About this job

This position provides administrative and office support for the President, and potentially up to two other executives. The Assistant will assist in daily management of the Executive’s schedule, travel, miscellaneous administrative needs, special projects, coordinating facility suppliers, manages documentation for regulatory/auditing purposes, deals with a diverse group of important external callers, visitors as well as internal contacts at all levels of the organization and maintaining documentation of the Scientific Affairs department budget. The Assistant will also answer non-routine correspondence and assembles highly confidential and sensitive information and must act with the highest degree of professionalism. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.

- Establishes, develops, maintains and updates filing system for the President and the department. Creates and Retrieves information from files when needed. Establishes, develops, maintains and updates library of trade journals and magazines.

- Drafts and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

- Making sure that documents are coded properly, signed and submitted in a timely manner

- Produces information by formatting, inputting, retrieving, copying, and transmitting text, data and graphics

- Managing the day-to-day operations of the office, including office supplies and scheduling maintenance, phone answering, and supply maintenance.
