Manpower is looking for a senior level Administrative Assistant The job is located in Framingham, MA Monday - Friday 8-5pm PAYING $23 AN HOUR This assignment is for four months Job Description Seeking a dynamic Senior Administrative Assistant to provide support to a VP of Global Manufacturing & Sourcing and his direct team in our Framingham, MA office. The position will encompass a variety of administrative responsibilities requiring a high-level of trust and confidentiality, interpersonal skills and excellent organizational and communication skills. Primary Responsibilities * Provide direct support to the Vice President on all aspects of running the group; ensure key information and reporting is updated and maintained regularly * Schedule, prepare and update daily schedules of the Vice President's meetings and priorities to ensure 100% accuracy; anticipate and address meeting conflicts. * Conduct meeting preparation (conference room, agenda, meeting minutes, conference bridges and catering as needed) * Organize, prioritize and summarize the content of incoming materials, specially gathered information, special requests and meetings. * Use discretion and independent judgment while fielding telephone calls and emails to determine whether the Vice President's involvement is necessary to support business need of caller. * Prepare PowerPoint presentations from draft work papers, write/edit word documents, perform basic Excel analysis (i.e. vlookup, sort, filter, chart creation) and complete data input. * Interact with senior management across organization as well as other internal and external partners using strong judgment, considerable tact, and diplomacy. * For the broader team, work with managers to set up new hires, contractors, and interns to ensure all systems are in place before the start date: computer setup, phone, email, mailbox, cube/office space, nametag, etc. * Initiate requisitioning of supplies, expense reports and other services as needed while keeping in line to cost center budget; spot audit expense reports of Vice President's direct reports * Provide phone coverage, make travel/hotel/car arrangements in line with corporate policy, and submit timely expense reports on executives' behalf. * Provide effective project management on ad hoc initiatives for the team Qualifications: Basic * HS Diploma required * Minimum of 4 + years of administrative assistant experience Preferred * Bachelors Degree preferred * High degree of professionalism and discretion with sensitivity to working with confidential information * Ability to exercise judgment and act with a sense of urgency to manage multiple high priority tasks * Ability to operate proactively and anticipate needs * Strong verbal and written communication skills in order to communicate and build partnerships with all levels of management * Exceptional organization skills * Excellent internal and external customer service skills * Ability to work as a team with other administrative assistants * Ability to handle a frequently changing environment and problem solve ambiguity * Advanced computer skills (Microsoft Office: Outlook, Word, PowerPoint, and Excel - Access a plus)
