Universal Services of America is the 5th largest security company in the U.S. and the 3rd largest U.S. owned security organization and we are now hiring for a Health & Safety Administrator to join our corporate office. The Health & Safety Administrator is responsible for administering all aspects of workers’ compensation claims (reportable and first aid), maintaining all leave of absence files and requests, and other HR administrative duties as directed. The Health & Safety Administrator will be responsible for, but not limited to, the following:
  • Responsible for receiving and reviewing all new workers compensation claims, collect all relevant facts surrounding the circumstances of the claim, and making the initial determination of claim type (reportable or first aid) in conjunction and with support of Director of Health & Safety, based on company guidelines.
  • Promptly process all claims received, ensuring all documentation and investigations are completed and submitted. Set up files for new claims and maintain in work comp database program.
  • Promptly report all claims to carrier that are reportable, following company guidelines. Work with assigned claims administrator on claim status throughout the “life” of the claim. Maintain effective tickler system for regular follow up.
  • Manage first aid claims processing, including proactive communication with clinic/provider, review of all invoices, processing of payments in a timely manner, and claim closure according to company guidelines.
  • Maintain proactive communication with injured employees throughout the life of the claim (all types). Includes immediate “out reach” at time of injury, explanation of the process, ongoing updates on claim status, and responsive/timely return calls to employee questions. Priority is to maintain positive communication with employees to return to work and reduce likelihood of litigation.
  • Maintain return-to-work program. Work with branches, medical providers and employee regarding work restrictions, documentation, and ability to accommodate according to company guidelines to proactively return injured employees to work as quickly as medically possible.
  • Manage the Workers’ Comp. inbox daily to process new incidents and respond to general correspondence.
  • Oversee day to day administration of unemployment claims processing, acting as a liaison between branch representatives and vendor as needed. Monitor activity to ensure timely responses are provided by branch representatives to the website and/or vendor representatives, and provide prompt notification if response deadlines are in jeopardy of being missed. Coordinate the collection of miscellaneous information as necessary based on periodic requests from vendor.
  • Maintain regular contact with insurance carrier/claims adjusters/third-party administrator (TPA) on claim status, proactively driving responses and reviewing reports with supervisor; make recommendations on claims handling and seek direction from supervisor on open issues.
  • Meet regularly (weekly) with supervisor to provide updates on claims and open/unresolved issues, with the objective of driving for claims closure and regular status updates.
  • Prepare monthly summary reports from insurance carrier/TPA and review with Director of Health and Safety for distribution according to company guidelines.
  • Maintain all work comp files, ensuring all current documentation (doctor notes, releases, investigation notes, case notes, carrier updates) are included and filed in appropriate date order. Maintain work comp database program with updated listing of all reported and first aid claims, including current reserve amounts.
  • Assist in the preparation of reports and presentations on an as needed basis.
  • Obtain all injury investigation reports and accident summaries; conduct investigations with branch staff, determining and documenting root causes of incidents and making recommendations for proactive steps to eliminate safety hazards, re-communicate procedures, or other safety communication that is necessary to eliminate cause of the accident. Includes working with carrier/TPA to investigate potential fraud cases, in conjunction with supervisor, making requests for sub-rosa where appropriate.
  • Process wage statements daily.
  • Manage the weekly processing of all WC subpoenas and provide direction on subrogation email correspondence with carriers/TPA.
  • Provide rest and lunch break relief for Receptionist and perform related duties as needed during breaks (i.e., answering phones, greeting visitors, sorting mail, shipping/receiving, etc.).
  • In conjunction with Receptionist, receive incoming mail, open and sort during receptionist duty periods. Following morning receptionist relief period, process sorted mail into applicable mailboxes in mail room and deliver any packages.
  • Monitor incoming faxes to HR fax lines, receive, sort and distribute at least twice daily (by 10:00 am and 3:00 pm) to intended recipients; handle general incoming fax requests as appropriate (i.e., redirect employment verifications, notification to appropriate manager for record requests/subpoenas, etc.).
  • Assist with other Workers’ Comp., Safety and Human Resources administrative duties as directed by supervisor on an as needed basis.

Position Requirements

Qualified applicants for the Health & Safety Administrator position will be able to successfully complete a post-offer/pre-employment background check and drug/alcohol test and meet the minimum qualifications as listed below:
  • Minimum high school diploma (or equivalent GED) required; 4-year college highly preferred with emphasis in Business, Human Relations or related field of study;
  • 5+ years of related experience in human resource, workers compensation or other related field of administration and processing of paperwork and materials. Prefer experience directing working with workers compensation claims administration in a corporate, carrier, legal or WCAB environment.
  • Must be able to work independently and be self directed, but also have ability and understanding of areas that require authorization and direction from supervisor, and when/how to provide regular updates.
  • Energetic, driven personality with a demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines and meet objectives.
  • High level of customer service and ability to effectively interact with all levels within the organization as well as outside with various vendors and providers.
  • Highly organized, with ability to process a very high volume of paper and information in an effective manner, including ensuring that information and its impact on the organization is absorbed and understood.
  • Must be proficient in all Microsoft Office applications, Word, Excel and PowerPoint. Should have good comfort level with integrating multiple applications to streamline operations through technology solutions. Effective use of technology to create meaningful reports and measurements required.
  • Professional, articulate and able to use good independent judgment and discretion.
  • Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.
