About this job

The Customer Service Specialist is responsible for processing customer orders as to completeness of specifications, prices, customer's identity, location, etc. for parts sales on computer terminal following established company sales format. They maintain and update customer computer database and/or manual record keeping systems for individual accounts in assigned territory. Specialists resolve simple problems regarding damaged, late or incorrect shipments per established guidelines and refer unusual or complex problems to the Customer Service Coordinator or Administrative Services Manager for resolution.



JOB QUALIFICATIONS

High School diploma or equivalent.
Knowledge of office equipment such as computer, adding machine, facsimile machine and copier. Typing skills of 45 wpm.
Effectively communicate verbally and written.
Able to work well with others.
Willingness to work in other areas in company for training purposes.


JOB RESPONSIBILITIES

Learn all Customer Service menu options and warehouse menu options.
Become familiar with part number structure for all vendors.
Process all incoming orders received via phone, facsimile, email, etc.
Maintain an equal amount of calls per hour with other Customer Service Specialists.
Assist customers when problems arise with their orders.
Notify the Returns Department on return parts via Return Authorization Requests.
Contact customers in assigned territories and maintain corresponding computer files.
Set up new customers and close dealers no longer franchised in the computer.
Assist with departmental mailings as necessary.
Complete "Flash Reports" when an opportunity presents itself.
Train in other areas of the company such as Dealer Returns, Processing and Shipping as required.
Help out other areas of the company during slow periods or when the need arises.
Make recommendations for improving efficiency and/or effectiveness of work instructions and departmental procedures that would benefit the company and its employees.
Able to flex hours as required for departmental coverage and business activity.
Perform all other duties as directed by management.
