Responsibilities

This position is responsible for providing administrative support to two (2) Directors and their teams. This position will schedule and maintain busy calendar and travel itineraries, and arrange and coordinate high level meetings. The successful candidate must have the ability to interact professionally with Internal and Supplier Senior Executives and their assistants. This position will administer time reporting and all expenses; work with Support organizations to resolve any issues with executive computers, printers and smartphones; manage correspondence signed by directors; and ensure that contract documents are prepared for Directors' signature. This position is also proactive in onboarding new hires ensuring all forms are completed and that everything is in place as quickly as possible for the hire to have a fast start (e.g. access card, laptop, system access, cell phone, office phone, parking sticker, etc.) This position will exercise sound judgment and discretion when handling sensitive matters, arrange essential incoming items in priority action order, and manage deadlines on incoming requests to successful completion.

Qualifications

Required Skills:

  • Minimum of 3 years of progressively responsible administrative support experience
  • Proficient in communication skills both written and verbal: spelling, vocabulary and grammar
  • Both attention to detail and ability to multi-task are a must
  • Experience supporting multiple people and priorities
  • Thorough understanding of all Expense/Reimbursement and HR Policies
  • Ability to establish and maintain office records and files, interpret rules and regulations
  • Ability to screen calls and visitors, turning some away and redirecting some to subordinate managers or other directors, when appropriate.
  • Ability to perform a variety of important, sometimes urgent, confidential and complex tasks
  • Time management skills
  • High energy level and strong work ethic
  • Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook
  • Systems Knowledge Required - Workbrain, SRM, Client Contact, ePerformance

Desired Skills:

  • Associates or Bachelor’s degree or equivalent work experience
  • Aggressive self-starter with ability to work with minimal direction
  • Excellent follow-up skills and impeccable attention to detail
