We currently have a fantastic opportunity in our Houston office for an Administrative Assistant to provide general administrative support to our Senior District Manager. This position is responsible for the overall functions related to the administration of the District Office for Houston, New Orleans and Baton Rouge. This includes both administrative and customer service responsibilities along with ensuring the branch files for the offices are audited and maintained. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Review service request reports to ensure timely follow up on a daily basis
  • Prepare rate increase reports and process, if applicable, on a monthly basis
  • Print, annotate, file, and distribute monthly reports on a monthly basis
  • Liaison between the staff located across multiple offices and properties
  • Answer phones, perform customer service functions, and take leads on a daily basis
  • Assist co-workers with questions on operational policies and procedures, as needed
  • Participate in the preparation and maintenance of several special projects and reports
  • Assist the District Manager (DM) with special projects

GENERAL ACCOUNTING/CLERICAL/DATA ENTRY RESPONSIBILITIES:

  • Assist the DM in printing, auditing and reviewing daily inventory reports, and distributing reports on a daily basis
  • Assist the DM with data entry, audit and processing of move-ins, move-outs and modifications of tenant files on a daily basis Acts as a liaison between DM, assigned district offices and Centralized Billing, to audit, reconcile, maintain and process property/apartment rent on a daily, weekly and or monthly basis
  • Audit tenant roster for accuracy on a daily basis
  • Audit, Reconcile, Maintain resident files/ledgers as needed
  • Audit and input office and furniture invoices for payment, as needed

QUALIFICATIONS:

  • Associate's degree (A. A.) or equivalent from two-year College or technical school; or 1+ years of administrative support experience
  • Bookkeeping experience a plus
  • Strong in Microsoft Office Suite including spreadsheets (Word, Excel, Power Point, Outlook).
  • Excellent customer service skills
  • Professional verbal and written communication skills
  • Highly motivated and detail oriented, with the ability and autonomy to work independently while managing multiple tasks
  • Preferred working knowledge in different software systems and/or client portals
