The Executive Legal Assistant ensures a fluid work environment within the office of the Senior Vice President by performing administrative/clerical and office management duties.  We are looking for an Executive Legal Assistant who uses initiative and good judgment, works independently with little supervision, and maintains strict confidentiality.


 The Executive Legal Assistant at Universal Orlando is responsible for:

  • Screening incoming calls and emails, and taking appropriate actions by directing the call to the appropriate party.  Maintaining Sr. Vice President and Attorneys’ calendars, making all necessary arrangements for appointments and meetings.  Arranging domestic and international travel.
  • Managing payment and tracking of Legal department’s invoices and other budgetary items.  Ordering and maintaining appropriate level of supplies for the department.
  • Providing administrative and secretarial support for the Sr. Vice President and two Directors of Legal Affairs, including filing, copying, scheduling appointments and organizing meetings.  Reviewing and prioritizing correspondence for handling or response. Providing investigation and prepares responses to guests/outside parties on inquiries.
  • Developing and maintaining reports, databases and files as appropriate and required.  Including litigation files and maintenance of litigation and corporate follow-up systems.  Assisting with tracking contractual and compliance obligations, responses and deadlines for litigation, gathering discovery materials and preparation of initial drafts of basic form agreements and drafting professional correspondence.
  • Ensuring the smooth operation of the Legal Department, including performing Office Ambassador duties, answering and prioritizing phone calls and correspondence; ensuring the attorneys stay on schedule, tracking of legal and compliance obligations and litigation, maintaining and ordering office supplies and equipment.
  • Understanding and actively participating in Environmental, Health & Safety responsibilities by following established Universal Orlando policies, procedures, training, and Team Member involvement activities.
  • Performing other duties as assigned.



To perform the role of an Executive Legal Assistant successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Consistent attendance is a job requirement.
  • High school degree or GED required. Paralegal certificate or Bachelor’s degree is preferred. 
  • 3-5 Years. experience as a Legal Secretary/Legal Assistant with a law firm or corporate/government legal department required; or equivalent combination of education and experience. 
  • Must be proficient in MS Word, Outlook and Excel; proficiency in MS PowerPoint preferred
  • Proficiency with telecommunications devices such as Blackberry and iPhone preferred.
  • Experience with complex calendar management
  • Experience with filing records, planning and scheduling
  • Must have a high degree of tact and confidentiality
  • Ability to correspond with guests and executives
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information to top management, public groups, and/or boards of directors.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs and spreadsheets.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 
  • Ability to work in a fast paced and changing environment.
  • Must be able to type 50 WPM.
  • Require a valid Florida state driver's license.


The physical demands described below are representative of those that must be met by an individual to successfully perform the essential functions of the  Executive Legal Assistant job.

  • Regularly (2/3 of the time or more) sit; talk; use hands and fingers to grip, pinch, handle or feel objects, tools or controls; repetition - using an input device-a keyboard or mouse-in a steady manner; use close vision with or without corrective lens (clear vision at 20 inches or less); peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); depth perception (vision, ability to judge distances and spatial relationships).
  • Frequently (1/3 to 2/3 of the time) Ability to Adjust Focus (ability to adjust the eye to bring an object into sharp focus while in changing light conditions e.g., sunshine to indoor or dark conditions); ability to maintain concentration/focus (e.g., ability to interpret the work environment and make decisions on predetermined operating policies and procedure).
  • Occasionally (1/3 of the time or less) stand; walk for prolonged periods (including ability to walk at a given pace that is predetermined by a moving sidewalk); hear audible alarms, voice commands with background noise; climb stairs/ladders; stoop, kneel, crouch or crawl; reach, pull, push with hands and arms above/below head; repeat motions more than twice per minute; lift up to 15 pounds with control; push up to 15 pounds with control; ability to work in varied light conditions including low or diminished lighting; ability to maintain alertness and attentiveness up to 4 hours while working varying hours; ability to taste and smell.


The work environment characteristics described below are representative of those an individual encounters while performing the essential functions of the  Executive Legal Assistant job. 

  • Frequently (1/3 to 2/3 of the time) use a motorized company vehicle or a leased or personal vehicle for company business; will require a valid Florida state driver’s license.
  • Occasionally (1/3 of the time or less) work in outdoor weather conditions to include direct sunlight, heat or cold; ability to work in wet, humid conditions (non-weather); ability to work in extreme cold (non-weather); ability to work in extreme heat (non-weather); noise Level-Loud Noise (Noise when raised conversation is needed).
