Overview:

The Administrative Assistant position provides primary support for 3 Vice Presidents of Stores' Merchandising. The successful candidate will demonstrate the ability to provide exceptional support, superior communication skills and decision making skills necessary to manage office. This role requires a high level of trust, confidentiality and organizational abilities. Perform other duties as assigned.

Essential Functions:

  • Coordinate flow and communication of information from mutiple pyramids within the Merchants groups.
  • Coordinate and prepare Quarterly directives for multiple Merchandising areas including Mens, Chiildrens and Womens apparel.
  • Maintain and manage calendars, including scheduling meetings, responding to invitations, and working through scheduling conflicts, by understanding and managing the priorities of the 3 Vice Presidents of Stores' Merchandising.
  • Manage incoming and outgoing communications (mail, fax and e-mail). Must be able to generate solutions and troubleshoot problems, delegating or involving direct reports as necessary.
  • Answer telephones; screen and direct phones calls. Handle messages accurately and timely.
  • Use Microsoft Office products -Word, Excel, PowerPoint- create presentations, spreadsheets and reports.
  • Maintain accurate and orderly records. Manage administrative functions of the office.
  • Coordinate scheduled events, interviews, presentations and company meetings.
  • Order and replenish supplies.
  • Make travel arrangements and process travel expenses.
  • Special projects as needed.
  • Regular, dependable attendance & punctuality

Qualifications:


Education/Experience:
Preferred five years of Administrative functions.
Language Skills:
Ability to read, write, and interpret instructional documents such as reports and procedure manuals. Excellent written and verbal communication skills. Excellent verbal and written communication skills. Must communicate effectively and courteously on the phone and in person. Strong interpersonal skills - ability to gain respect and cooperation from supervisors' subordinates. Ability to interact with all levels of the organization.
Mathematical Skills:
Basic math functions such as addition, subtraction, multiplication, and division.
Fundamental understanding and experience managing budgets and expenses.
Reasoning Ability:
Must be able to work independently with minimal supervision. Maintain a high level of confidentiality with information. Ability to handle sensitive situations with tact and discretion. Respond effectively to changing priorities and the ability to keep track of multiple projects on a continuing basis. Initiative & ability to problem solve. Detail oriented, highly organized, with the ability to handle multiple tasks.
Physical Demands:
This position requires regular walking, standing, hearing, and talking. May occasionally be required to stoop, kneel, or crouch. Vision abilities include close vision, color vision, depth perception, and ability to adjust focus
Other Skills:
Strong leadership profile and excellent negotiation skills. Proficient in MS Word, PowerPoint and Excel. Ability to navigate intranet and internet. Basic knowledge of blackberry connectivity. Strong knowledge of Lotus Notes, including scheduling meetings, invitations, address book, etc. Ability to use multi-function device (i.e. copy, fax, print, scan, etc.). Strong administrative, time management and follow through skills.
Work Hours:
Ability to work a flexible schedule based on department and store/company needs.
