This position is responsible for the
international travel logistics for Optum employees.





This Program Coordinator will have
accountability for supporting, facilitating or managing the components of
international travel.




Primary Responsibilities:



  • Determine
    the proper Sr. level approvals are in place for the international trip
  • Review Travel Checklist with travelers to ensure
    requirements are in place for international trip
  • Assist travelers with obtaining passports, visas and
    work permits if required
  • Confirm that immunizations are current
  • Ensure the traveler has an American Express corporate
    card, travel profile is current, etc.
  • Inform travelers of Frontier MedEx, cultural training
    classes and registration with the US Embassy.
  • Obtain the name of team travelers are going to meet
    with to determine the host in the country they are traveling to and set up host
    program
  • Work directly with BCD Travel and traveler to
    determine the best, most cost effective flight options within the Optum Travel
    Policy
  • Work with Travelers to obtain approval for any
    requests that do not comply with the travel policy. E.g. business vs. coach,
    specific airline with higher cost
  • Work with BCD Travel to ticket the flights, book
    hotels, and schedule airport transfers.
  • Meet with travelers prior to their trip to answer
    questions, review Travel Tips document, etc. to ensure that they are
    comfortable and know what to expect.
  • Assign international cell phone and provide
    information prior to trip
  • Ensure that the Emergency Travel document is updated
    on SharePoint
  • Work with host to ensure daily ground transportation
    is in place
  • Serve as a point of contact for employees and families
    during trip
  • Providing Admin Support for the rest of the Shared
    Services group.
  • Develop a quartley newsletter for the group.
  • Helping coordinate and set up events
  • Other admin tasks as needed


Requirements

Required Qualifications:
  • High School Diploma/GED.
  • Experience with Outlook, Word, Excel, PowerPoint, SharePoint.
  • Experience in booking International travel in a Corporate setting.
  • Experience working with Concur or a similar travel tool.
  • Experience working in an Admin or support role.
