Administrative Assistant III

Job Description:

* Manage calendar for Chief Financial Officer, North America/General Manager, Canada; Senior Director Supply, North America, and Senior Director Category Management and Business Development, North America

* Scheduled meetings for Chief Financial Officer, North America/General Manager, Canada; Senior Director Supply, North America, and Senior Director Category Management and Business Development, North America

* Handle Domestic and International travel as well as Expat information

* Handle invoices from Vendors and Consultants through SAP system as well as track payments and handle any troubleshooting of accounting issues

* Manage relationships will all vendors

* Manage Travel and Expense Reports

* Manage and update the Management Finance Presentation for all Executive members, which include gathering reports and compiling data to input in slides. Must have mastery/Expert level of Power Point and Excel (i.e. import video into PPT, import excel sheets into PPT, proper formatting, pivot tables, lookup's and other formulas, link/embed to spreadsheets)

* Created manual and conduct Concur/Get There training for new hire orientation

* Handle all on boarding/off boarding for new and existing employees (i.e. setup of computers, introduction schedules, phone - mobile and workstation assignment.)

* Reception coverage during lunch hour

* Developed training manual for expense and travel tools as well as manual for administrative training on Onboarding process.

Experience: 5 or more years of experience in position or specialization. Education:

High-school/Associates or equivalent experience if applicable. Certification if applicable. Greet visitors and callers, route and resolve information requests. Type correspondence, compile data for expense and statistical reports. Schedule travel, appointments and meetings. Coordinate space and office organization; maintaining paper and electronic files.
