The Receptionist is expected to have the switchboard open and operating promptly at 8:30 a.m. and throughout the day until 5:30 p.m. Relief switchboard coverage will be provided for a thirty minute lunch, as well as morning and afternoon breaks. The Receptionist should work with relief coverage to determine appropriate times for lunch and breaks
Position Responsibilities:
Professionally administer all incoming calls
Ensure phone calls are redirected accordingly
Greet guests in a professional, friendly, hospitable manner
Type memos, correspondence, reports, and other documents , Perform a variety of clerical duties, Silverchair data logging on weekly basis
Responsible for Square census monthly reporting.
Responsible for office equipment maintenance/repair contact through vendors.
Produce the Royal Culture Committee monthly newsletter using Publisher or other comparable software with information provided by the Culture Committee members.
Legal record coordination with VP of Risk Mgmt and facilities
Requirement/Qualifications
High school diploma or equivalent with 2+ years of administrative/receptionist experience in a corporate environment.
Exhibit a professional appearance and pleasant demeanor while interacting with a wide variety of callers and visitors, including customers, candidates, employees, executives and vendors.
Strong computer skills (MS Work, Excel, PowerPoint, Outlook, calendaring applications, VoIP soft phone)
Demonstrate an ability to work independently and resolve problems, seeing projects through to their completion, while working effectively with others when necessary.
Proven ability to be discreet and diplomatic when dealing with sensitive information.
