About this job



Office Administrator for commercial real estate company located in the Irvine CA area. This position manages the office to ensure that the office runs smoothly.

This is a Temporary to Hire opportunity, pay to $24/hr, depending on experience. Hours 8:30 am-5:30 pm, Monday-Friday. Must be available to work occasional Overtime, on short notice. Business dress code.

Responsibilities:
Supervise and coordinate all administrative activities. Facilitate day-to-day operations for the office.
Process invoices, including reconciling, verifying and coding for A/P.
Process expense reports.
Negotiate the purchase of office supplies, office equipment, etc. for the office in accordance with company purchasing policies and budgetary restrictions.
Responsible for arranging office meetings (internally/externally) for office..
Human Resource contact for hiring, employee relation issues, attendance keeping, payroll matters, merit reviews and new employee training. Interview for any open position.
Ensure that company policies are followed.
Provide administrative and production support. including typing correspondence (letters, memos, reports) faxing documents, mailing, handling phone calls, scheduling appointments and conference calls, etc.
Provide administrative and production support to Office Head.
Trace real estate licenses, subscriptions and memberships and coordinates all renewal and/or initial processes

Requirements:
5+ years Administrative experience
Previous Office Management with A/P experience is a must
BA degree highly desired
Real Estate / Finance background is preferred
Intermediate MS Word, Excel, PowerPoint, and Windows (Office 2010)
Experience with various office machines: computers, scanners, copiers, fax, etc.
Ability to multi-task and effectively prioritize and complete work requests in a timely manner
Ability to work independently or with a team
Excellent verbal and written communication skills
Other administrative duties, as needed/assigned
